Job Summary/Basic Function

About This Role:

Working in collaboration with the Vice President of Student Affairs and Strategic Initiatives, the business manager must align the division’s financial and administrative policies and procedures with university objectives by establishing systems to ensure compliance. Acting in a fiduciary capacity and as a steward of university resources, the business manager is expected to perform their duties with the university’s best interest in mind.

The Business Manager oversees and coordinates the business operations of the division, including budget preparation and control, accounts payable and receivable, payroll, travel, business resources, cashiering, and auxiliary enterprises. The business manager is responsible for directing and managing the administrative, financial, and operations of the division/departments. The business manager is expected to function as the trusted business partner for the Vice President and work collaboratively with the Associate Vice-President, Dean of Students, Directors,

and staff to address operational concerns and resolve Issues.

What You’ll Do – Position Responsibilities:

  • Financial Management and Compliance

Manages the daily financial activities of the Division, which include budget preparation

and control, accounting, purchasing, and business planning and management; ensures

compliance with university policies and procedures, state, and federal regulations.

Coordinates with the directors and program leaders to facilitate financial and budgetary

procedures.

  • Reporting and Systems Implementation

Coordinates, designs, and implements internal financial reporting systems and

management information systems in coordination with the automated financial

reporting systems of the university.

Prepares, with the budget office, requests, operating budgets, and formal budget

revisions as required.

Coordinates the preparation of reports of disbursements, special analyses, and

information reports for management; presents recommendations for changes and/or

improvements, monetary control, and adherence to budgets.

  • Contract Negotiation and Cash Management

Evaluates and/or negotiates contracts for the purchase of services in coordination with

the university purchasing department.

Manages cash, cash-related receipts, accounts receivable and credit and collection

functions, ensuring timely processing of billings, payments, and collection of program

revenue.

  • Policy Development and Auxiliary Services

Develops and implements systems and processes to establish and maintain records for the Division. Develops or assists with the development and implementation of policies and procedures. Participates in the development, implementation, and maintenance of policies, objectives, short-and long-range planning consistent with those of the university to ensure efficient operation of the Division; develops and implements projects and programs to assist in the accomplishment of established goals. As appropriate to the Division’s needs, it may oversee auxiliary enterprises such as shipping and receiving, order fulfillment, postal services, and printing services.

  • Miscellaneous and External Representation

May coordinate financial aspects of research proposals, contracts, and sub-contracts

and serve as a liaison with university administrators, and state, federal, and private

funding sources.

Represents the organization at various community and/or business meetings,

committees, and task forces; promotes existing and innovative programs and/or

policies.

  • Knowledge of university accounting procedures involving procurement, travel, and/or employment.

  • Skill in budget preparation and fiscal management.

  • Develop, plan, and implement short-and long-range goals.

  • Ability to effectively communicate accounting information, policies, and/or procedures easily understood by the customer.

  • Knowledge of computerized information systems used in financial and/or accounting applications.

Physical Requirements:

  • Able to lift 25 lbs. and be able to perform a variety of physical tasks including lifting, bending, stooping, squatting, stair climbing, and walking between buildings.

Job Conditions:

  • Office setting that involves sedentary work at a desk to handle multiple administrative duties. Work schedule is typically Monday-Friday, 8 am -5 pm but may include working extended hours if necessary to complete projects.

Minimum Qualifications

  • Bachelor’s degree in business administration, higher education, student affairs, or related field.

  • At least 3 years of relevant experience in student affairs, higher education administration, or a related field.
