About this Role

This position reports to the Executive Director of OIES and works closely with OIES team members and international students and scholars. The Administrative Specialist exercises broadly delegated authority in the administration of the department with regards to purchasing, accounting, payroll, office management, and other administrative activities. Responsibilities require considerable energy, initiative, judgment, reliability, confidentiality, cultural sensitivity, organization, and knowledge of department and University policies. Excellent customer service and collaboration skills are essential for success in this position.

What You’ll Do – Position Duties:

  • Assists in providing program or procedural information related to the completion of forms and other related documentation using established standards and procedures; reviews and verifies the accuracy and consistency of information, data, records, invoices, and other assignment-related transactions in accordance with established procedures and guidelines. Enters data to Banner, adds and removes holds. In collaboration with the Student Health Center and Academic Health Plans, enrolls international students in health insurance plan.

  • Prepares and maintains routine and non-routine correspondence, reports, documents, records, and files according to specific work direction, established standards, and procedures; monitors supplies inventory, orders supplies, and/or processes and monitors supply requisitions using Cardinal Purch.

  • Contacts vendors for purchase and delivery information; monitors requisition information and related expenses, reviews and reconciles invoices, monitors and tracks expenses, and may assist with the development of budget-related materials and proposals adhering to applicable policies and procedures.

  • Manages director’s calendar, meetings, takes and records meeting minutes, manages team calendar.

  • Performs other duties as per office needs.

Physical Requirements:

  • Able to lift 25 pounds and be able to perform a variety of physical tasks including lifting, bending, stooping, squatting, stair climbing, and walking between buildings.

Minimum Qualifications

  • Bachelor’s degree or two years of college coursework related to job functions, or combination of education and experience in related field (2 years of experience = 1 year of formal education).

  • Two years of clerical, administrative office support or related experience.

  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.

  • Computer literacy including keyboarding ability and proficiency with word processing, Excel spreadsheets, and presentation software.

  • Experience with event planning.

  • Ability to develop knowledge of, respect for, and skills to engage with those of other cultures or backgrounds.
