About This Role:
This position currently acts as the office manager to perform advanced administrative, secretarial, and clerical tasks and provides support to the Chair of the Department of Business and the Program Director of the Construction Management Program. The Department of Business is a large multi-disciplinary department. (By the fall of 2024, the College of Business will be reorganized, so that some of the department’s faculty will be
moving to other departments. The Administrative Coordinator’s duties will then include work for the Chair of the Department of Management, Marketing and General Business, the Chair of the Department of Construction Management, and the Director of General Business Programs.) This position performs a wide variety of administrative duties and serves as a key communication link between the department(s) and faculty, students, and the general public.
What You’ll Do – Position Responsibilities
- Provides administrative support to the Department Chair(s), Program Director, and
faculty; monitors and develops schedules; assists in classroom assignments; works with
advising and Degree Works; monitors budgets; handles purchasing, invoices, and
receipts; maintains supplies and equipment; communicates with faculty and students as
needed. Provides customer service by greeting and assisting students, faculty, staff, and
visitors; copying and distributing messages within the office; taking incoming calls and
routing calls to the correct office or person, and responding to questions and inquiries
from students, faculty, staff, and the public. Drafts department official communications
and maintains electronic documents. Prepares program announcements to students
(e.g., jobs, scholarships, events, etc.) Interprets and explains policies and procedures
and resolves problems or complaints as necessary. Provides other student needs that
are supported by the College-level staff.
- Prepares and distributes various correspondence; responding to emails; creates reports,
labels, and lists; types required forms and reports; answers, screens, and forwards calls;
photocopies and scans; coordinates and schedules meetings and events; and manages
calendars.
- Maintains all required accreditation materials and annual reporting such as formatting
and drafting documents, maintenance of the document repository for all programs,
especially for the Construction Management Program. Collects and reports data for
ACCE and AACSB accreditation.
- Provides related support by training and supervising student workers; arranges
luncheons and special events and reimbursements; and provides technical/software
support and training. Organizes and manages program events (e.g. CM Job Fair, CM
Orientation, CMAC meetings, etc.) Communicates with CMAC and the construction
industry organizations. Maintains department or unit filing systems by updating files
with new information; retrieves information and files as requested; ensures security of
personnel files; ensures confidentiality of information; follows guidelines for the
destruction and removal of files and confidential employee information; and tracks files
and information as appropriate.
- Provides administrative support to the faculty; organizes meetings; prepares minutes of
meetings; etc. Manages the CM Lab.
- Performs other duties as assigned in response to the needs of the departments and
programs.
Key Competencies:
- Excellent organization, communication, and interpersonal skills Advanced computer skills in all packages of MS Office Knowledge of university system and processes Knowledge and experience working in LU computer systems such as Banner, Cardinal Purch, Argos, Degree Works, Dashboard, AdAstra Scheduling, Chrome River, Smartsheet, etc.
Physical Requirements:
- Able to lift 25 lbs. and be able to perform a variety of physical tasks, including sitting, lifting, bending, stooping, squatting, stair climbing, and walking between buildings.
Job Conditions:
Work is performed primarily in a standard office environment with frequent interruptions. This position may require the performance of other job-related duties to meet university and departmental needs.

Minimum Qualifications
High School diploma or GED equivalent
Minimum 3-years’ experience in an office setting Should be familiar with specialized terms, practices, or systems.
