About This Role:

The Administrative Coordinator is responsible for managing and coordinating the daily operations of the Department of Theatre & Dance within the College of Fine Arts and Communication. This position serves as a central resource for faculty,

staff, students, and external stakeholders by ensuring effective communication, administrative efficiency, and adherence to university policies and procedures. The Administrative Coordinator supports departmental leadership by overseeing budgets, managing personnel and academic records, coordinating purchasing and travel processes, and facilitating departmental events and activities. Through proactive problem-solving and attention to detail, this role contributes to the success of departmental operations and fosters a welcoming and professional environment for all constituents.

What You’ll Do – Position Responsibilities:

  • Administrative Operations

  • Manage departmental communications, including general receptionist duties, mail

distribution, and directing emails and phone calls to appropriate parties.

  • Provide general clerical support, including managing department chairs’

appointments and calendars, maintaining office records and supplies, and

overseeing office student workers.

  • Conduct correspondence on behalf of the department chair as requested.

  • Budget and Financial Oversight

  • Assist with monitoring departmental expenses and maintaining budgets.

  • Manage purchasing requests, resolve purchasing issues, process monthly credit card

reports, reimburse faculty travel expenses, and maintain departmental financial

records.

  • Academic and Faculty Support

  • Assist with course schedule building and address student registration issues,

including add/drops and late registration.

  • Coordinate personnel records, faculty files, payroll processing, and implement

related policies and procedures.

  • Process hiring documents, monthly timesheets, honoraria, and maintain records of

key distribution.

  • Departmental Coordination

  • Attend departmental meetings, take minutes as requested, and participate in

relevant university training and workshops.

  • Coordinate faculty travel reimbursements and departmental events or activities.

  • Customer Service and Student Support

  • Serve as the first point of contact for students, faculty, and visitors, providing

accurate and timely assistance with inquiries or concerns.

Key Competencies:

  • EProficiency with MS Office Suite, Adobe Acrobat Pro, Content Management Systems, Cardinal Purch, Banner, and Chrome River.

  • Experience with office equipment, including personal computers, multifunction copiers, fax machines, and network printers.

  • Strong organizational and multitasking skills with attention to detail.

  • Excellent written and verbal communication skills. · Ability to work independently and collaboratively.

Physical Requirements:

  • Able to lift 40 pounds and be able to perform a variety of physical tasks including lifting, bending, stooping, squatting, stair climbing, and walking between buildings. Current driver’s license and ability to travel

Minimum Qualifications

  • High School Diploma or GED

  • Three (3) years’ experience in an office setting or an Associates/bachelor’s degree and 1 year of administrative experience..
