About this position

This position functions as a Stockroom Clerk in District 61/Unit 001, EBR Parish of the Department of Transportation and Development and reports directly to the Administrative Program Manager 2. The incumbent is expected to receive and unload stock or equipment. Inspects incoming stock or equipment and compares to specifications on invoice, requisition or purchase order. This position requires the applicant to possess a valid Louisiana Class “E” Driver’s License and be able to lift 50 pounds.

Minimum Qualifications

MINIMUM QUALIFICATIONS:

One year of experience in which clerical work was a major duty

SUBSTITUTIONS:

Training in a business or clerical-related curriculum in a business school or technical institute will substitute for the required experience on the basis of six months of training for six months of experience.

Completion of a business or clerical-related curriculum in a business school or technical institute will substitute for the required one year of experience.

College training will substitute for the required experience on the basis of 15 semester hours for six months of experience.

NOTE:

Business or technical school training with less than completion will only be credited in six month increments. Similarly, college training will only be credited in 15 semester hour increments.

NOTE: Any college hours or degree must be from an accredited college or university.

Differs from Administrative Coordinator 1 by the presence of responsibility for clerical duties that require some independent judgment to perform.

Differs from Administrative Coordinator 3 by the absence of advanced level duties that not only require some independent judgment, but also involve a greater scope and complexity.

Examples of Work

Function Statement:

The overall function of this positon is the cap of a Career Progression Group (CPG) with Administrative Coordinator 1 as the entry level. This position is located in the District 61/Unit 001/Stockroom of the Department of Transportation and Development and reports directly to Administrative Program Manager 2.

Job Duties and Responsibilities:

30% Receiving:

Receives and unloads stock or equipment. Inspects incoming stock or equipment and compares to specifications on invoice, requisition or purchase order. Verifies shipping and receiving documents signed and dated with goods received to determine accuracy and takes action to resolve discrepancies to include refusal or delivery. Tags, marks, labels and stores stock in appropriate locations. Keeps an accurate account of items received. Notifies supervisor of any problems encountered during the receiving, labeling and put-away process of materials, supplies, documents and/or equipment.

30% Inventory:

Maintains stock inventory to ensure that adequate supplies are available. Conducts annual and/or periodic physical inventories, usually once per month. Maintains inventory in an orderly and organized manner through use of stock rotation, periodic counts, etc. Notifies supervisor of any inventory problems.

30% Distribution:

Maintains log of equipment usage/distribution. Receive requests, either in person, via phone, email or fax, and addresses all requests in a timely manner. Delivers stock or equipment either in person or via delivery service such ad US Mail, UPS, FedEx. Notifies supervisor of any problems encountered.

5% Miscellaneous:

Operate and performs routine user maintenance on material handling equipment such as forklifts, pallet jacks, or carts. Serves as runner to pick up and deliver mail. May serve as lead worker or assist in the training of lower level clerks or new employees. Keeps work area neat and free of safety hazard. Uses office equipment such and fax, phone, personal computer, copier, etc.

5% Miscellaneous Duties:

May be required to perform other duties as necessary including, but not limited to, emergency/disaster support activities.
