Job Overview and Responsibilities

We are looking someone to provide on-site assistance in terms of meeting organisation and administrative support.

You will have to perform various duties while receiving a minimum of detailed supervision and guidance. You will maintain a close and highly responsive relationship to the day-to-day work activities of your site.

Key Responsibilities:

  • Provide administrative support to ensure efficient operation of your scope.

  • Ensure on-boarding of new comers and welcoming of visitors.

  • Answers phone calls, schedules meetings and supports visitors exhibiting polite and professional

  • communication via phone, e-mail, and mail.

  • Carries out administrative duties such as filing, typing, copying, binding, scanning etc.

  • Completes operational requirements by scheduling and assigning administrative projects and expediting work results.

  • Coordinate and organize arrangements for on-site meetings, special ceremonies, conferences, and/or lunches including hotel reservations, scheduling of facilities, menu selections, and preparations of agendas; programs.

  • Maintain good rapport with all leaders on-site and staff.

  • Perform other duties as assigned.

  • External and Internal events and visits support:

  • Meeting rooms schedule

  • Catering organization

  • Hotel / taxi / ensure all IT support

  • Team buildings events for groups

  • Dinner organization

  • Boarding pass prints

  • Documents prints (if needed)

  • PO creation

  • Submission of expenses

  • Celebrations / Organization (Christmas baskets /HSE Week /End-Year Celebrations /Citizen Day /GBS events / Anniversaries)

  • Support to the Site Manager and Site coordinator (if applicable) such as in Townhalls, meetings schedules and to the HR Manager (partnerships...)

  • Prepare onsite onboardings, including lunch, rooms and goodies

  • Maintain a close and highly responsive relationship to the day-to-day work activities of the leaders in your scope.

  • Support in executive schedules, including appointments, meetings, and travel arrangements.

  • Support in the preparation, review, and edit of reports, presentations, and other documents. Ensure all materials are accurate and professionally presented.

  • Confidentiality: Handle sensitive information with the utmost confidentiality and discretion.

  • Communication: Prepare organizational announcements and a few communications.

  • Office Management: Oversee office supplies and equipment, ensuring the executive office is well-maintained and functional.

Education and Experience

Bachelor’s degree in Business Administration, Communications, or a related field preferred.

Minimum of 1 year of experience as an Admin Assistant or in a similar role.

Ability to work independently and as part of a team.

High level of professionalism and discretion.

Strong problem-solving skills and attention to detail.

Ability to manage multiple priorities and meet deadlines.

Must-have language skills

Fluent in English (both written & spoken)
