Performs administrative support-related work in a maintenance office or district headquarters and for one or more projects and specialized programs. May serve as a lead worker. Work requires contact with high-level managers, executives, governmental officials and private entities. Employees at this level establish their own work plan and priorities to meet set objectives. Issues are rarely referred to the supervisor but are handled at the occurrence.Essential Duties:Maintenance Support Tech IIAnswers the telephone, evaluates requests, answers questions, routes messages, and serves as receptionist or front desk assistantAssists district personnel with annual inventory of supplies, stockpiles, and minor equipmentAssists in preparing monthly and final maintenance contract estimates.Assists with data entry for construction record-keeping.Composes and prepares correspondence and applicable recurring or special one-time reports and confidential and sensitive communicationsConducts monthly spot inventories, verifies inventory findings, reconciles and coordinates with business services on adjustments neededCoordinates and tracks the progress of projects and specialized programs and informs supervisor or other department officials of statusCoordinates with District Warehouse personnel on surplus property sales of miscellaneous itemsEdits correspondence, reports, forms, and documents for proper format, spelling, grammar, punctuation, typographical errors, syntax, style, sentence structure, content and clarity.Maintains and updates office files/records/logs and a wide variety of automated systems in support of personnel, finance, budgeting, maintenance, inventory, contracts, purchasing, travel information, and permitting activities.Maintains calendars for department personnel to include scheduling meetings, coordinating, and making appointments, and travel agreementsMaintains equipment service records.Maintains materials inventory.Maintains radio contact with field units; responds to assists with emergency situations as requiredMonitors and assists with data entry for maintenance contract record keeping.Monitors equipment mileage and service records.Monitors the use of equipment and transfers.Prepares and distributes correspondence.Prepares statistical reports and verifies for accuracy and completeness.Processes change orders, supplemental agreements, and extra work orders.Processes receipts and invoices for payment.Receives, sorts, opens, evaluates content and distributes mail.Researches and compiles information for reports or inquiries and assists in organizing, coordinating and preparing written or statistical reportsReviews and processes records of completed maintenance projects.Reviews, prepares and negotiates applicable program purchases for services, office materials, supplies, tools and equipment and monitors contracts.Performs other job-related responsibilities as assigned.Maintenance Support Tech IIIIn addition to the duties listed aboveInputs and maintains daily production reports and compiles monthly reports for manager.Creates and maintains related activity logs, files and reports on services.Logs, files, and cross-references correspondence; and verifies documents/records.Maintains radio contact with field units; responds to assists with emergency situations as requiredMay serve as a lead worker and the related tasks.Prepares monthly and final maintenance contract estimates.
