This position is responsible for preparing and overseeing scheduled events for this Cecil County historic treasure administered by theUniversity of Maryland, Baltimore (UMB). All employees are expected to work primarily physically within the State of Maryland. * *PRIMARY DUTIES * Provide professional and administrative support to department, campus center, or school events. Coordinate day-to-day operations of events or meetings for department, school, or campus center. * May be responsible for facility logistic aspects of events or meetings, including set-up and tear down, seating arrangements, technical, and atmosphere. Coordinate strategic planning and assist in goal setting for several events. Assist in creation of novel approaches to building business such as special events, services or incentives. Assist in the development and implementation of event concepts and processes. * Generate proposals, contracts and other documents to secure business for all services related to an assigned event(s), such as facility, caterer, printers, or speakers. * Negotiate terms and conditions of contracts with some latitude. * Provides general professional and administrative duties to support events and troubleshooting issues that arise throughout the event. Assess outcomes and make appropriate recommendations. * Assist in preparation of promotional and informational items. * May supervise staff and/or volunteers and ensures the efficient recruitment/ interviewing and training. * Oversees and coordinates food service; determines work priorities; plan schedules; assigns and reviews work. * Determines food quantities and quality; prepares estimates of time, labor and material on assigned tasks. * Assumes responsibility for opening building; cash handling to include safe access, and securing building or snack bar at end of shift and securing money were assigned. * Provides guidance and training to subordinate personnel. * Protects equipment, utensils, food and other inventory from contamination, spoilage, and pilferage assuring adherence to quality standards as provided by the department as well as the health department. * Performs the duties of a cook or specialist, if needed. * Attends meetings, in-service training, and classes relevant to work in assigned area. * Maintains cleanliness of first floor of mansion before/after events. * Inventory, ordering, and stocking of all cleaning, food, and other supplies * Ability to work within a team to supply excellent customer service * Flexibility to adjust schedule to attend and oversee events including nights, weekends, and holidays * Performs other duties as assigned. MINIMUM QUALIFICATIONS Education:Bachelor's degree in relevant field (English, Journalism, Public Relations, Communications) or related field. Experience:Two (2) years of experience in event or meeting management, fundraising or development, public, or client relations. Previous cooking experience strongly preferred. Other:Related experience may be substituted for education. * *KNOWLEDGE, SKILLS, ABILITIES Knowledge of position requirements. Knowledge of all applicable requirements, regulations, and laws. Skill in effective use of applicable technology/systems. Ability to effectively communicate both verbal and written thoughts, ideas, and facts. Ability to work cooperatively with others and independently.
