Kennedy Krieger Institute Compliance Coordinator-Neurobehavioral Unit $2,500 Hiring Incentive in Baltimore, Maryland

Overview

The NBU Compliance Coordinator is responsible for providing administrative support to the Neurobehavioral Unit (NBU) Supervisors and Management, and will coordinate with NBU Staffing Coordinators, Employee Health, and Human Resources to ensure that employees meet departmental and organizational compliance deadlines. This includes matters related to work authorization, various employee health, employee competency, and performance appraisal requirements. The incumbent will provide clear communication to employees regarding compliance processes and deadlines, will generate and maintain accurate documentation and employee records, and will ensure the confidentiality of employee information. This individual will also be responsible for other administration duties to help the NBU run more effectively.

Responsibilities

  1. Coordinate with Human Resources to ensure new employees comply with the timely submission of I-9 work authorization documentation and communicate non-compliance to the appropriate supervisor.

  2. Coordinate with Employee Health to ensure new employees comply with the timely completion of various employee health requirements and communicate non-compliance to the appropriate supervisor.

  3. Obtain and maintain lists of Neurobehavioral Unit (NBU) employees and their respective due dates and completion dates for various health requirements, including but not limited to, new employee mandatory bloodwork and documentation requirements, seasonal influenza vaccination, and COVID-19 vaccination and booster requirements.

  4. Obtain and maintain lists of NBU employees and their respective due dates and completion dates of annual Institute and departmental competency requirements.

  5. Obtain and maintain lists of NBU staff completion of electronic signatures on their annual performance appraisals and track any outstanding signatures.

  6. Communicate deadlines to NBU staff regarding aforementioned requirements, and advise and assist those employees in the process of becoming compliant. Coordinate these efforts with the Supervisors of Patient Services and NBU Staffing Coordinators, as necessary.

  7. Thoroughly document and organize communication efforts and details for each individual compliance-related matter and communicate non-compliance to appropriate supervisor.

  8. Provide administrative support for department, to include scheduling and greeting office visitors, responding to phone calls, picking up and distributing mail, and updating the Clinical Assistant phone line.

  9. Coordinate in-services, schedule conference rooms for department meetings, and any required special equipment, room-preparation and catering if needed. Record and disseminate meeting minutes.

  10. Provide administrative support to the NBU Director, including managing their schedule and coordinating meetings as needed.

  11. Assist NBU-IP Staff Recruiter, Manager and Assistant Manager of Patient Services, Director of Direct Care Services and all other supervisory staff with recruitment activities. This includes, but is not limited to, making callings and setting appointments, typing up documents, creating signs, and managing calendars.

  12. Assist Staffing Coordinators with maintaining an updated telephone contact list for NBU inpatient staff.

  13. In collaboration with Staffing Coordinators, coordinate temporary adjustments to patient assignments as needed to provide supervisors opportunities to work with assigned staff.

  14. Maintain appropriate inventory of break room and office supplies and patient toiletries.

  15. Assist training team, as needed, with creating training materials.

Qualifications

EDUCATION:

  • High School Diploma or GED required.

  • Associate’s Degree, or higher, preferred.

EXPERIENCE:

  • Up to two years of previous administrative support experience is preferred.
