Johns Hopkins University Administrative Specialist in Baltimore, Maryland

The Department of Molecular Microbiology and Immunology (MMI) is seeking an Administrative Specialist (AS) for its well established Johns Hopkins Malaria Research Institute (JHMRI). Founded in May 2001 and continuously supported by Bloomberg Philanthropies, the Johns Hopkins Malaria Research Institute conducts discovery research at the Bloomberg School of Public Health in Baltimore and field research at the Macha Research Trust in Zambia and other sites of endemic malaria in sub-Saharan Africa, India, and elsewhere.

The Administrative Specialist will provide high level administrative and sometimes confidential support for its director and its members.

Specific Duties & Responsibilities

  • Supporting the organization, preparation for and execution of Malaria Friday Seminars to include,

  • Send invitation to Malaria Friday seminar speakers once selected by JHMRI faculty.

  • Creates meeting schedule for seminar speaker + faculty.

  • Arranges transportation and lodging for guest seminar speakers.

  • Orders and receives lunch for 10 trainees and seminar speakers.

  • Purchases snacks and beverages for seminar attendees.

  • Creates seminar flyer and sends it via email to JHMRI & MMI lists.

  • Reserves room, IT support and Security support for each seminar.

  • Makes sure in person that all is ready in seminar room, resolving any problems JHMRI pre- and post-doctoral travel fund matching.

  • Supports and answers questions from MMI faculty and staff, helping when appropriate.

Organizes with designated faculty member the annual World Malaria Day symposium on April 25th, for Vector Encounter in June and Future of Malaria symposium.

  • Sending invitations to speakers reserving Sommer Hall and Feinstone Hall supervising registration on the JHMRI website and @malaria-conference email ordering food and beverages for a light breakfast, lunch, and reception alerting security, facilities, and IT/MultiMedia of support needs, setting up stanchions and signage the night before WMD enlisting help from MMI staff arranging transportation, lodging, and parking if needed for speakers.

  • Negotiate block of hotel rooms in coordination with JHMRI Program Director inviting the Dean of the Bloomberg School of Public Health as well as other VIPs.

  • Afterwards, reimbursing any costs of speakers paying all the food, lodging and transportation vendors in person support.

  • Other duties as assigned to support the operations of JHMRI.

Minimum Qualifications

  • Bachelor's Degree.

  • Five years in providing high level expertise.

  • Additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.

Preferred Qualifications

  • Prior laboratory experience at the undergraduate or post-undergraduate level.

Role/Level/Range: ATP/03/PC

Starting Salary Range: $53,800 - $94,400 Annually ($75,000 targeted; Commensurate with experience)

Schedule: Monday to Friday: 9 am – 5 pm
