Now we are looking for a dynamic,outgoingand enthusiastic – Rooms Administrative Assistant  with strong background and experience inadministrativeto join our energetic,enthusiasticand passionate team at Grand Hyatt Bali.

The * *Rooms Administrative Assistant willbe responsible forprovides administrative support to Director of Rooms and Front Office Manager and ensures the implementation of hotel policies, standards, and procedures as they apply to the administrative functions.

As a Rooms Administrative Assistant , you will be reporting directly to theDirector of Roomsand below are some of the  *key responsibilities: *

  • To provide efficient administrative support to the Director of Rooms

  • Provides theappropriate levelof professional,courteousand caring service to otheremployees (internal customers) and other visitors to the division. 

  • Maintains positive guest and colleague interactions with good working relationships. 

  • Set up a systematic and efficient filing system, both for hard files as well as all electronic data, that enables quick retrieval

  • Prepares the relevant materials for all meetings attended by the Director of Rooms and Front Office Manager: Daily Operations Meeting, Executive Committee Meetings, DepartmentalMeetingsand ad hoc meetings

  • Types, takes minutes and dictation, draftslettersand handles all correspondence

  • To have a complete understanding and strictly adhering to rules and regulationsestablishedin the CollectiveLabourAgreement, Employee Handbook and the hotels policies concerning Fire, Hygiene, Health and Safety and Emergency situation

  • Handles guest and employee enquiries in a courteous and efficient manner, reporting complaints or problems if no immediate solution can be found, whilst feeding back a prompt follow up. 

Qualifications:

  • Minimum of 1 year of solid experience asRoom Administration or secretaryin a large 5-star luxury hotel or resort.

  • Eloquent in English communication in both written and spoken.

  • Has a solid background of working in a high demand business environment.

  • Has strong customer service and communication skills.

  • Strengths must include knowledge ofpowerpoint, excel, and word programs.

  • Must be able toestablishprofessional relationships within the hotel and manage confidential information.

  • Highly conscientious and diligent.

  • Diploma in Hospitality or other relevant fields. ABachelor’s Degreeis a plus.
