Job/Position DescriptionUnder the general direction of the Data Strategy and Modernization Director performs highly complex (senior-level) staff services work including consultative services and technical assistance. Work involves planning, directing, coordinating, and performing functions related to administrative services, human resources, accounting, training, payroll, purchasing, records management, and property management. Ensures that Office of PH Data Strategy and Modernization (OPHDSM) correspondence, reports, presentations, and all other documents meet DSHS writing standards, including appropriate formatting, structure, and accessibility. Oversees, coordinates, and participates in a wide variety of routine and special projects and assignments. Works under limited supervision with considerable latitude for the use of initiative and independent judgment.Essential Job Functions(35%) Serves as the main point of contact for administrative operations for OPHDSM. Analyzes current administrative operations to determine the need for improvements in work systems and procedures. Plans, develops, and implements procedures to assist the OPHDSM team in maintaining effective business practices and daily operations. Ensures that work assignments are accurately completed within the designated timeframes. Keeps the OPHDSM Director aware of assignment status. Reviews and edits documents including correspondence for the Directorand#146;s signature, reports, policies, procedures, and other high-level documents to ensure accuracy, proper format, and adherence to DSHS policies and procedures. Completes monthly and quarterly administrative reports. (30%) Provides guidance and support on human resources by reviewing and interpreting personnel policies and procedures and assisting with CAPPS functions, such as leave reporting and timesheet certifications. Assist with updating position descriptions and screening applications. Coordinates and schedules interviews for job applicants, assists with onboarding/offboarding processes, collects and submits documents for new hires, ID badge processing, and other support work. Provides regular reviews and updates of the OPHDSM organizational chart and vacancy status report. Maintains confidential personnel and medical files. Obtains and tracks non-employee IDs. Ensures all OPHDSM staff completes required employee training. (20%) Coordinates general office duties such as ordering supplies and maintaining the work office environment. Ensures OPHDSM staff have needed supplies and resources to efficiently perform duties. Submits and tracks purchasing requisitions in CAPPS Financials. Ensures financial issues are resolved quickly and accurately. Serves as the contact for building maintenance issues, custodial services, parking, work environment, equipment, security, etc. Coordinates space needs and processes move requests. Maintains and tracks travel expenditures.(10%) Serves as the OPHDSM Records Retention and Open Records Coordinator. Plans, implements, coordinates, and monitors responses to open records requests. Ensures that staff are aware of and adhere to all policy guidelines and that responses are submitted to the agency coordinator within the required timeframe. Maintains records and files in accordance with the records retention schedule. Maintains a tracking system of all resources assigned to staff and assists with the agencyand#146;s annual inventory.
