Responsible for administrative support services. Relieves the Director by overseeing the day-to-day operational management of PIP. Determines work priorities and supervises operational support staff.Manages all aspects of accounting, purchasing, and budgeting reports. Serves as primary financial representative for the PIP sub-unit within the University. Reviews and approves vouchers, purchase orders and contracts. Reviews, monitors, and assists with QuickBooks and DEFINE data entry. Supervise monthly account reconciliations and certifications and provide monthly budget reports. Prepare annual budgets with input and approval from the Director.Oversees all aspects of the PIP Practice development, publishing, and delivery process. Ensures editorial consistency and a timely revision cycle. Manages and prepares all Practice progress status tracking reports. Formulates strategies for project funding and implementation, including management of necessary contracts and service agreements. Ensures the accuracy of published Practices on third-party distributors websites.Supervises PIP systems administration. Monitors data integrity and record-keeping. Facilitates PIP system enhancements and application improvements. Oversees related contracts and service agreements. Ensures equipment and software licenses are current and maintained.Coordinates with Function Team Leadership (FTL) to obtain quarterly status reports and the resource needs of each team. Supports quarterly FTL meetings, assigns rotating leaders, prepares agendas, compiles team reports, and assembles quarterly presentations and meeting notes. Assists with securing additional expertise for teams when requested by recruiting volunteers from member companies and/or securing Emeritus Volunteers or Consultants. Manages the PIP Emeritus and Consultant justification and acquisition processes.Attends PIP Quarterly meetings, monthly webex meetings, and Annual Conference. Offers administrative support to PIP Function Teams, Committees, and staff. Prepares presentations and reports for use by PIP Director. Participates as a non-voting member on assigned PIP teams and committees, stays abreast of process industry issues and topics, and participates in discussions.Provides support for planning and budgeting of quarterly meetings and AC. Consults on all related contracts, purchase orders, service agreements, and related procurement activities to ensure proper execution per university guidelines. Assists with scheduling and meeting space allocation.Serves as Human Resources Coordinator and Workday administrator for the PIP sub-unit. Maintains employee personnel files. Provides guidance for the annual performance evaluation process to the PIP staff. Supports the recruiting, hiring, and training PIP staff.Coordinates all administrative elements of PIP's operations and facilities as they arise. Coordinates annual space allocation and equipment inventory.Travels and performs other related functions as assigned that at times may require an irregular work schedule.
