Job/Position DescriptionAdministrative Asst III performs moderately complex records administration work in order to maintain efficient operation of the unit. This position prepares meeting agendas, drafts meeting minutes, tracks completion of action items and evaluations, as assigned. Oversees organization of hardcopy and electronic files. Enters data in a database used for tracking. This position requires strong organizational skills, and the ability to make decisions in organizing, prioritizing multiple assignments, and work in a professional manner. This position works under limited supervision, with considerable latitude for the use of initiative and independent judgment. Essential Job FunctionsAttends Work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.Prepares and proofreads correspondence, forms, or other documents (for example, letters, memos, or purchase vouchers, job announcements) using a personal computer.Answers telephones, refers callers to appropriate staff, takes messages, and answers basic questions.Performs administrative or support work for assigned area (for example, drafting correspondence/documents, tracking assignments, completing forms/reports, explaining rules/procedures).Schedules meetings, training sessions, or tests by contacting staff and scheduling date, time, or facilities.Maintains records, files, or logs (for example, administrative, personnel, contract, correspondence forms, documents, purchasing, case files, tracking logs, files/documents) including filing, retrieving, or purging.Receives complaints or appeals and forwards them to appropriate staff for response.Communicates on a complex level with others (internally or externally) to provide, exchange, or verify information, answer inquiries, address issues, or resolve problems or complaints.Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agencyand#146;s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.Registrations, Licensure Requirements or CertificationsNoneKnowledge Skills AbilitiesKnowledge of office practices and administrative procedures.Skill in standard office equipment and software such as Word, Excel and PowerPoint.Ability to implement administrative procedures and to evaluate their effectiveness; to interpret rules, regulations, policies, and procedures; to communicate effectively, to train others; and to supervise the work of others. Knowledge of agency policies, functions, and operations.Knowledge of modern office practices and procedures and using office machines and equipment.Knowledge of basic accounting principles and practices.Ability to implement administrative procedures and to evaluate their effectiveness.Ability to establish and maintain effective working relationships with others.
