Job/Position DescriptionAdministrative Asst IIIOVERVIEW The Texas Department of Family and Protective Services (DFPS) is responsible for protecting the unprotected and#151; children, elderly, and people with disabilities and#151; from abuse, neglect, and exploitation. Your annual paid leave accrual increases as your tenure increases. Administrative Asst III. The position reports to the PEI Operations Support Officer. Performs complex (journey-level) administrative support or technical program assistance work. Work involves disseminating information, maintaining filing systems, and performing internal administrative support work. Trains others. Works under general supervision, with moderate latitude for the use of initiative and independent judgment.Essential Job FunctionsCoordinates meetings, conferences, and seminars. This work includes reserving space, making name tags, making sign-in sheets, creating certificates for attendees, preparing and/or copying materials for attendees such as handouts, working the registration table, and more. (25%) Manages and maintains schedules and travel arrangements for managers and directors. This work includes scheduling individual and team meetings, making adjustments to meeting invitiations when needed, making travel arrangements including airfare, hotel, and car reservations, submitting travel claims on behalf of managers and directors. (20%) Coordinates general office duties such as ordering supplies, submitting purchase orders, and assisting with general human resources work. This work includes gathering input from other division employees regarding their office supply needs and/or purchasing needs, scheduling interviews for job applicants, and more. (15%) Develops and maintains filing, record-keeping, and records management systems. This work includes maintaining naming conventions on the share drive and assisting team manager in maintaining files and record keeping. (10%) Provides assistance answering and routing phone calls, taking messages, and greeting and directing visitors to the appropriate staff. (5%) Coordinates the preparation of documents for PEI, such as handouts for meetings. (5%) Responds to inquiries regarding technical program or administrative policies and procedures. (5%) Assists in researching technical issues or questions submitted by staff regarding agency processes and procedures. (5%) Develops and reviews training materials when needed. (5%) Trains others on a limited basis (primarily fellow administrative staff).
