Job Summary:

Key Responsibilities:

  • Provide general office support for all department members, including mail coordination, phone list creation, office supply management, and oversight of shared spaces.

  • Collect and record monthly personnel time data and produce bi-annual audit reports.

  • Manage IT-based printer services, including user training and supply ordering.

  • Serve as a backup approver for university conference room scheduling and communicate scheduling information.

  • Handle all procurement transactions for the department, including purchase orders, PCard purchases, travel reimbursements, and financial accounting.

  • Assist with new Marketplace requests, including large equipment orders and coordinate with the Director on invoice processing and resolving discrepancies.

  • Support the Chair with calendaring, travel arrangements, and expense reconciliation.

Qualifications:

Minimum Qualifications:

  • A bachelor's degree in business, business administration, finance, accounting, healthcare administration, public administration, or a directly related field from an accredited institution.

  • A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.

  • One (1) year of professional level business administration or related experience.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • Experience in office administration or management within an academic or research setting.

  • Experience with University systems, including Concur, Marketplace, HCM, etc.

  • Experience with Mac OS and Zoom.

  • Experience with web development tools (Sitefinity) and content management systems.

  • Experience managing social media platforms.

  • Experience supporting diversity, equity, and inclusion initiatives.

  • Experience or knowledge of CU Marketplace, HCM, CU Careers, M-FIN reporting.

Knowledge, Skills, and Abilities:

  • Ability to communicate effectively, both in writing and orally.

  • Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.
