Position Title: Office Coordinator Classification: Non-Exempt Reports To: Deputy Operations Manager Date Created: November 2024 Location: Corporate Office Salary: $19 - $24 hourly

Maxx Impact Group is Management Consulting firm that provides Supplier Diversity and Workforce Development strategies, program development, and oversight services to Federal, State and Local governments as well as private/commercial clients. We are looking for a dependable professional Office Coordinator with strong initiative, organization and administrative support experience. Essential Functions: Provide Exemplary customer service for in person guests and employees. Manage inbound calls, take messages and redirect calls to appropriate colleagues. Coordinate operational calendar of activities and confer with coworkers to coordinate work activities. Review and process Expense Reports and Time Off Requests. Reconcile all credit card purchase and serve as contact between vendors. Perform administrative or clerical tasks. Prepare research or technical reports as needed. Maintain readiness of Conference Rooms and prep for meetings. Administer personnel recruitment or hiring activities and record personnel information. Order, maintain and distribute Personal Protective Equipment (PPE) to staff as necessary. Monitor inventories of products or materials and maintain inventory records. Maintain and improve access card and key management process. Maintain office equipment and report maintenance or other issue to appropriate personnel. Maintain breakroom supplies and tidiness. Maintain list of office and event supplies and anticipates supply needs. Provide administrative support to staff and senior management, as needed. Other duties as assigned. Experience in driving process improvement Experience in accounts receivable (or accounts payable) Willingness to learn and use various digital apps and tools. Proficient in Microsoft 365 and/or other Microsoft Office Tools. Understanding of basic principles of finance, accounting, and bookkeeping Work Environment: Flexible work environment. Sitting for long periods, standing, and walking intermittently. Flexibility to travel locally as well as work on some evenings Indoor office environment, temperature controlled. Occasionally lift or move and average of up to 25 pounds.

Education and Experience: Associate's degree or equivalent work experience is a minimum requirement Proven experience in an administrative role or similar position is required In lieu of degree, an administrative-related certifications desired (such as Certified Administrative Professional (CAP), Administrative Assistant Certification (CAA), Professional Administrative Certification of Excellence (PACE), and more. Proficient in using computer software programs such as Microsoft Office Suite (Word, Excel, PowerPoint)
