Job Title: Grants and Contracts Specialist ( Intermediate – Principal Level)

Job Summary:

Key Responsibilities

  • Interpretation of federal and state policies.

  • Analyze current and past financial and performance data to provide financial projection forecasting for faculty (one-on-one meetings).

  • Submit, monitor, and review internal finance reconciliations utilizing finance systems and databases (e.g., effort reporting, award closeouts, etc.).

  • Perform routine audits of payroll as well as other research expense transactions for Principal Investigators, fellows, and staff to ensure expenses are properly calculated and encumbered in their appropriate accounts.

  • Establish fund accounts in coordination with the Office of Grants and Contracts (OGC) and the disbursement of subcontracts.

  • Reconciliation of subcontract and consultant invoices and coordinate communication with sponsors and Principal Investigators.

Minimum Qualifications

Intermediate Level:

  • A bachelor's degree in accounting, finance, social/behavioral sciences, physical sciences, business, business administration, healthcare administration, or a directly related field from an accredited institution.

  • A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year-for-year basis.

  • One (1) year of professional level experience in a business or financial analysis role.

Senior Level:

  • A bachelor's degree in accounting, finance, social/behavioral sciences, physical sciences, business, business administration, healthcare administration, or a directly related field from an accredited institution.

  • A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year-for-year basis.

  • Two (2) years of professional level experience in a business or financial analysis role.

Principal Level:

  • A bachelor's degree in accounting, finance, social/behavioral sciences, physical sciences, business, business administration, healthcare administration, or a directly related field from an accredited institution.

  • A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year-for-year basis.

  • Three (3) years of professional level experience in a business or financial analysis role.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications

  • Experience in research administration, grant funding, forecasting, financial management and budgeting.

  • Experience with University of Colorado software and applications [e.g., InfoEd (proposal development and routing); m-Fin (financial reporting); CU Marketplace (procurement); PeopleSoft HCM and Finance; Concur Travel and Expense System].

  • Experience with NIH ASSIST

  • Experience in submitting and managing large, multi-disciplinary, multi-institutional NIH research grants.

  • Experience in interpreting and applying policies from a variety of funding structures (federal, state, foundation, and institutional) and serving as a resource to others.

  • Experience with accounting and/or finance responsibilities.

Knowledge, Skills, and Abilities

  • Knowledge of the regulatory policies associated with the construction and submission of federal and private foundation grants (e.g., HIPAA and human subject protection, animal protocols).

  • Excellent written and verbal communication skills.

  • Proficiency in all Microsoft Office applications (Word, Excel, Outlook, PowerPoint).

  • Ability to work on multiple projects simultaneously.

  • Remain detail-oriented with changing priorities.

  • Adaptability to grant application-specific guidelines and the needs of different Principal Investigators (PIs).

  • Ability to work independently following training.

  • Customer service-oriented to work with diverse faculty and staff in multiple departments.

  • Ability to collaborate and form effective working relationships.

The Department of Medicine (DOM) Research Office has opening(s) for full-time University Staff Research Services Professional (Open Rank) to serve as the Department's Grants and Contracts Specialist. As a Grants and Contracts Specialist, you will be responsible for complex and varied research, financial, and analytical work related to grant review and management. Grants and Contracts Specialist (Intermediate – Principal Level) has primary responsibilities to assist Principal Investigators (PIs) with the submission, administration, and management of research grants and contracts, as well as responsible for the financial, accounting, and procurement transactions and their policies. This position will report to the Research Office Program and Grant Manager. The position provides centralized support to the DOM Divisions Research Administrative teams to ensure compliance with all Federal, State, Sponsor, and University policies & and procedures.

Hybrid – this role is eligible for a hybrid schedule of 2-3 days per week on campus and as needed for in-person meetings.
