Are you interested in an exciting work environment with new opportunities to help the State of Maine prepare for disasters each day? The Receptionist position is thefront lineof the Maine Emergency Management Agency, providing critical office and administrative support.
Responsibilities include receiving Agency guests, answering calls to the Switchboard, and supporting program staff with office supplies, equipment, and services.
Primary responsibilities include:
Perform routine secretarial duties such as answering phone calls, arranging appointments, arranging use of state vehicles, and preparing documents for Agency personnel.
Receive and greet visitors.
Purchase and maintain an inventory of office supplies and equipment to suit the needs of Agency personnel.
Maintain Agency email distribution lists.
Serve as backup for the Agency’s Executive Assistant.
Support the State Emergency Operations Center with administrative needs.
Skills or knowledge required:
Ability to create and use varied correspondence formats and compose standard business correspondence.
Ability to perform basic secretarial duties.
Ability to understand and apply applicable laws, rules, regulations, policies, procedures, paperwork, and terminology.
Ability to effectively resolve problems.
Ability to exercise good judgment in appraising situations and making decisions/recommendations.
Ability to communicate effectively, both verbally and in written correspondence.
Minimum qualifications:
Training, education, or experience in office and administrative support work that demonstrates 1) competency in applying a solid knowledge of modern office practices to perform complex, varied office support tasks, and 2) the ability to use independent decision-making on the appropriate processes to follow, information to process, and actions to take in accordance with standard procedures. All positions in this classification assume the qualifications of: Office Assistant I, Office Assistant II, and Office Associate I.
LICENSING/REGISTRATION/CERTIFICATION REQUIREMENTS: (These must be met by all employees prior to attaining permanent status in this class.)
Some positions may require possession of a valid Class B Maine Motor Vehicle Operator’s License.
