Job Summary:

The Installation Coordinator role is responsible for the scheduling, billing, dispatching service tickets and ensuring the success for Field Service execution. Avnet is looking for a problem solver who has excellent communication skills, knows the intricacies of executing technology implementations, and has experience managing internal and external expectations. The Install Coordinator will be the face of the Avnet brand and is critical to the unparalleled service we strive to provide at Avnet.

Responsibilities:

  • Successfully manage the scheduling and dispatch of service tickets.

  • Maintain billings reporting and execution as projects complete. This includes working with our purchasing teams and ensuring vendors are paid.

  • Generate shipping reports for Project Management Team.

  • Manage vendor field service and customer relationships.

  • Oversee several programs while ensuring collaboration between clients, IT, technical resources, and back office.

  • Acts as the program's authority, single point of contact, and escalation point by monitoring, reporting, and working with teams to ensure timely completion of tasks.

  • Provides high level visibility reporting to all key personnel on performance metrics.

  • Align operational resources across internal, customer and vendor teams.

  • Manages communications with internal stakeholders and the client, including leading weekly and monthly calls with stakeholders.

  • Create and oversee the resource capacity planning necessary to complete projects.

  • Create operational tools for projects and overall capacity and effectiveness.

  • Roadblocks should be effectively anticipated, identified, and removed.

  • Metrics should be defined, and effective project controls should be established.

  • Project status meetings should be independently facilitated and led.

  • Ensure all SLA expectations are being met based on Client SOW.

  • Ensure that Standard Operating Procedures are created, updated and visible.

  • Forecast and align resources to company goals.

  • Ensure projects and programs are proceeding according to scope, schedule, budget and quality standards.

Key skill sets:

  • STRONG verbal and written communicator. Able to communicate technical concepts and activity to both technical and non-technical people.

  • Proactive, self-motivated work style with attention to details and deadlines.

  • Previous experience leading the delivery of technology projects. Special consideration for healthcare IT experience.

  • Strong working knowledge of field service dispatch systems, Smartsheets and Excel.

  • Experience with current project management toolsets.

  • Design, implement and drive process improvements, while flexing to an evolving and changing environment

  • Technical aptitude and understanding of the technical service industry preferred.

  • Must be able to manage multiple tasks while meeting strict deadlines.

Education:

  • Bachelor's degree or equivalent experience from which comparable knowledge and job skills can be obtained.

  • PMP certification and/or MBA is a plus.

Work Experience:

  • 5+ years with bachelor's or equivalent.

Distinguishing Characteristics:

  • Experience in deployment of clinical or operatory applications and or systems in a health care environment is a plus.
