Federal Aviation Administration Administrative Officer in Atlantic City, New Jersey

Summary Serves as an Administrative Officer providing administrative support to one or more groups within the Operations Support Directorate, AJW-1. Plans, develops, monitors and executes actions as required to manage administrative functions. Responsibilities Performs a combination of routine and multiple and varying assignments under the general direction of a manager, project/program manager, team leader, or more experienced professional. Acts as an individual contributor and/or member of a team for projects/ programs within a defined area of responsibility. Performs, monitors and tracks a variety of administrative tasks in implementing an office's administrative programs, policies, and procedures. Provides administrative support to management during the planning, developing, monitoring and execution of actions required to manage a wide array of office administrative functions. Applies experience and detailed knowledge of administrative processes and procedures to plan and accomplish assignments. Provides group, team, and sub-team managers information on the operation of assigned programs and the interrelationships of such programs. Typical assignments may include collecting, recording and analyzing data/information, conducting research, identifying problems, assisting higher level professionals in day-to-day operations. Provides written or oral explanations of administrative policies, maintains records, and assists with the coordination of new office policies and systems. Reviews invoices and provides assistance to the manager with invoice processing and funding reports. Receives incoming calls, greets visitors personally, controls Manager's calendar, schedules appointments and meetings after consulting with Manager. Creates agendas for quarterly management meetings. Schedules conference rooms and sets up conference call bridge lines for meetings. Replies independently to routine correspondence not needing the Manager's attention and is especially attentive to situations that require sensitive handling. Reads and reviews outgoing correspondence for procedural and grammatical accuracy and format, conformance to policies, factual accuracy, correct computations and ensures that it has been cleared by all interested parties. Coordinates workplace logistics, such as workspaces, computers/laptops, requests for phone services and wireless devices, finalizing move dates and other office logistics. Provides time and attendance (T&A) support; prepares correspondence and reports using word processing and spreadsheets. Processes incoming correspondence and tasks, ensuring timely and accurate distribution and follow-up. Performs daily collection and distribution of mail, maintains files, assumes responsibility for the accuracy of the filing/records management system and its adherence to the Privacy Act. Manages office supply inventory and makes purchases as required. Reviews travel authorizations and vouchers for administrative and procedural compliance. Gathers procurement requirements, prepares, submits, and monitors requisitions, and credit card purchases. Demonstrates some independence in planning time and using assigned resources. Prioritizes tasks and activities in coordination with a higher manager, project/program manager, team leader, or more experienced employee as needed. Contacts are primarily internal to the organizational unit with regular contacts with AJW and ATO to share information about the FAA, provide data and/or written analyses, and discuss the status of assignments. May have contacts with customers and other external parties on routine matters such as gathering information, explaining regulations, and discussing customers’ situations. Established policies/procedures provide guidance for most assignments but allows some discretion for the employee to select the most appropriate approach(es). Refers problems and work issues to a manager, project/program manager, team leader, or more experienced employee when guidelines are not available or applicable. Specialized experience is experience that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of the position. Specialized experience is: Experience submitting procurement requests and credit card purchases, reviewing invoices and preparing funding spreadsheets, and utilizing ACT space management and reservations systems. OR, Education substitution: Ph.D. or equivalent doctoral degree or 3 full years of progressively higher level graduate education leading to such a degree or LL.M., if related If qualifying based on education, you must submit a copy of your transcripts.
