Description
The Program Coordinator duties are organizing, coordinating, and planning operational facets of a program and its related activities which include, but are not limited to the following: establishing long-term operational objectives, researching factors that may impact the success of the program, and working with individuals or groups to research and document program requirements in order to provide appropriate input into the development of strategic plans.
KEY RESPONSIBILITIES:
Develops work plans to accomplish program goals and objectives and monitors progress toward their achievement.
Conducts research and gathers information to develop various publications.
Develops promotional materials which may include content for reports, briefings, newsletters, grants or other written information related to the program.
Assists in developing and coordinating program-related conferences, conventions, or meetings.
Monitors expenditures and may participate in the budget planning process and prepare financial reports.
May assist in identifying funding resources and developing fund-raising strategies and initiatives.
Prepares operational and statistical reports.
Conducts training, represents the program at meetings and conferences, and networks with affiliated groups. May supervise assigned project staff, interns and/or volunteers.
Performs related responsibilities as required.
MINIMUM QUALIFICATIONS:
Bachelor's degree in a field related to the program.
Two years of related experience, or an equivalent combination of education, training and experience.
ADDITIONAL JOB DETAILS:
This position is 70% accounting/finance and 30% event planning; in addition, the position helps to support the day-to-day operations of the department.
Originate and reconcile transactions—reimbursements, transfers, payments, purchases, etc.
Track, monitor, and reconcile all budgets within the department, including faculty research budgets; keep records of alltransactions impacting those budgets
Notify the Chair and ADA of issues and concerns within the budget
Process faculty/staff/guest reimbursements and honoraria, as well as invoices and place orders for supplies, travel, catering, etc
Oversee corporate card reconciliations for faculty
Generate regular EBI reports for faculty research and project funds; provide regular balances tothe Chair/ADA as well as individual faculty as appropriate
Maintain office supplies; manage subscriptions for periodicals and magazines, as well as on-line software applications
Manage events with external visitors as well departmental programming: reserving rooms; ordering catering; working with department administration for invitation lists; building itineraries; arranging transportation; set-up and break-down of events
PREFERRED QUALIFICATIONS:
Experience with finance and accounting functions
Experience/familiarity with using Emory Business Intelligence System (EBI), Compass, and
Emory Express, OneDrive Excel, and Microsoft Office Suite a plus
Be a self-motivated team player
Have the ability to pay close attention to details
Have excellent communication skills, verbal and written
Possess an engaging personality comfortable in interactions with students, faculty, staff, andvisitors.
