Katmai General Clerk III in ATLANTA, Georgia
SUMMARY
Provide General Clerk Services support tasks. Provide administrative coverage within Office of Financial Resource's (OFR's) Office of Director during periods when the primary administrative staff is unavailable.
ESSENTIAL DUTIES & RESPONSIBILITIES
Manage the complex calendars of Director’s, Branch Chief’s, and/or Team Lead’s independently scheduling appointments, often times including extensive rescheduling.
Respond to inquiries regarding the whereabouts of branch staff and notify appropriate branch members when scheduling conflicts occur and scheduling substitute staff when necessary.
Arrange programs, events, or conferences by securing facilities, managing logistics, setting up rooms, issuing information or invitations, and coordinating speakers.
Take minutes during meetings which includes tracking action items to ensure timelines are met.
Create and maintain database and spreadsheet files.
Copy, file, shred, scan, and fax.
Answer/screen incoming telephone calls and correspondence, responding independently when possible.
Distribute incoming and outgoing mail.
Compose and type routine correspondence, both draft and final form.
Create and maintain correspondence (to include records management), databases, spreadsheet files, and PowerPoint presentations.
Enter time and attendance data into CDC’s Time and Attendance system.
Maintain office supply inventory, ensuring the branch maintains an adequate amount of supplies - placing orders for additional supplies as necessary.
Prepare travel orders and travel vouchers utilizing CDC’s Travel system, arranging detailed travel plans and itineraries and compiling documents for travel related meetings.
Arrange programs, events, meetings, or conferences by securing facilities, setting up rooms, creating materials, issuing information or invitations, and coordinating speakers.
Maintain daily attendance records.
Update staffing and distribution lists.
Triage issues to proper branch team/members.
Input training requests into Visual Studio Team Services (VSTS).
Coordinate interviews for potential staff to include printing, copying, and distributing resumes; setting up interviews and rooms; and providing other administrative supportive as needed.
Serve as the primary receptionist for branch visitors and callers.
Maintain regular and punctual attendance.
Perform other duties as assigned.

Job Requirements:
MINIMUM QUALIFICATIONS
High School Diploma or GED.
Five (5) years’ experience providing General Clerk Support Services.
Must be able to obtain Government Clearance. Permanent Resident Card (Green Card) or U.S. Citizenship required.
Must obtain and maintain any necessary security access and/or background checks.
DESIRED QUALIFICATIONS & SKILLS
General knowledge of office procedures and standard support processes.
Knowledge of commonly used concepts, practices, and procedures.
Work independently to complete assignments, performing tasks using knowledge of routine office procedure.
Experience using Microsoft Office 7 (Word, Excel, Access, PowerPoint, Outlook) Adobe and other media type software.
Excellent communication and interpersonal skills.
Must be exceedingly well organized, flexible.
Strong organizational skills and detail oriented.
Ability to prioritize multiple tasks successfully.
Demonstrated ability to perform diverse duties under operating and deadline constraints.
Demonstrated accuracy and thoroughness; monitors own work to ensure quality.

Full-time. May be required to work additional hours as needed to complete assignment or project.

WORK ENVIRONMENT
Work is primarily performed in a professional office setting, including the normal office equipment (e.g., computer, fax machines, copier) and with a wide variety of people in differing functions, personalities, and abilities.
PHYSICAL DEMANDS
Position consists of sitting for long periods of time, using hands/fingers, handling, reaching with hands and arms, talking, hearing; occasional walking or standing, bending, kneeling, stooping, crouching, and lifting boxes weighing up to 30 pounds. Moderate to extended periods of office work with heavy periods of computer usage.
