The Department of Admissions & Student Affairs is seeking a dynamic Administrative Assistant to join their team.
Positions in this job family provide administrative or professional support for departments, programs, divisions, and other organizational units. Administrative support work may be directly related to business operations, administration and clerical support. Responsibilities in this family address the general management of institution operations at the unit and/or department level. Typical functions include broad unit business operations, ancillary services management, clerical/secretarial support, etc.
Minimum Qualifications
Associate’s Degree; Bachelor’s Degree preferred. In lieu of educational requirements, experience may be substituted on a year for year basis. Degree must be from a regionally accredited college or university.
2-4 years of related experience. Must type 50 WPM . Must be proficient in Microsoft Office Suite.

Job Duties
Description of Job Duty
Provide administrative support to the undergraduate medical education program by performing duties which strengthen the program and support the educational needs of the students while assuring compliance with accreditation standards.
Support the Associate Dean, IJME .
Establishing and maintaining effective working relationships with employees, students, staff, faculty, and vendors based on mutual respect.
Address the daily needs and concerns of MD, GEBS , and MPH students with the Assoc. Dean.
Link MSM students to needed MSM resources.
Use interpersonal skills with diplomacy to manage conflict with cooperation and collaboration within team settings. Flexibility to work effectively with multiple supervisors on a variety of projects.
Document, monitor, and evaluate compliance with LCME and SACS accreditation standards,
Perform annual residency program directors’ survey to obtain evaluation of MSM recent graduates’ performance in internship, perform analyses of these survey results and share with leadership and other stakeholders.
Collaborate with the ASA team on orientation activities for matriculating MSM students.
Support the process for MSPE development, processing, etc,
Assist with data collection and preparation of accreditation reports and site visits.
Assists UME manager in preparing the budget documentation; personnel action forms, requisitions, redistribution forms, etc.
Plans and organizes departmental meetings, training sessions, and special events; and maintains the Associate Dean calendar.
Organizes, plans, and maintains travel itinerary and travel arrangements for the Associate Dean.
Processing of student reimbursement submissions, monitored by the UME program manager.
Functions as a liaison between the students and the Associate Dean for Undergraduate Medical Education ( UME ) and Admissions & Student Affairs ( ASA ); Providing both parties with research to enhance event planning, scheduling of meetings, and resolving any anticipated inconveniences.
Designs, develops, implements and maintains automated or manual records management system for the department; maintains confidential and personnel files for the department.
Performs notary duties for the MSM student body.
Addressing applicant inquires and assisting with resource direction.
Provides logistical support for the Associate Dean which includes presentation preparation, report generation, and other various assignments.
Prepares and composes reports, correspondence, and other documents as required; reviews for accuracy and completeness; maintains files for future references.
Manages and monitors incoming correspondence (written and electronic), including review, screening, appropriate routing, and disposition; and maintains and updates related files
Organizes and prioritized activities ensuring management of and follow through on assigned tasks. Compiles and communicates information and action item.
Ability to maintain confidentiality of highly sensitive information. Absolute integrity and discretion. Working effectively with persons from diverse cultural, social, and ethnic backgrounds.

It is MSM’s Immunization policy that all Prospective Employees are required to provide proof that they are vaccinated against COVID -19 prior to commencement of employment. If employment will commence during Flu Season, MSM requires all individuals to provide proof that they are vaccinated against Seasonal Influenza for the current Flu Season, unless granted an exemption. Failure to provide proof of vaccination for any required vaccines or obtain an exemption from MSM will result in rescission of a candidate’s offer of employment or disciplinary action up to and including termination.
