Operations Manager

The Operations Manager is pivotal in ensuring the efficient and sustainable functioning of all campus buildings and facilities. This role involves managing a variety of projects, including renovation, construction and preventative maintenance. This role will lead and support a team of janitorial, maintenance, and departmental staff, emphasizing the development of performance standards, conducting evaluations, and providing regular feedback to enhance performance and ensure smooth daily operations. This person will develop a strategic plan for campus furniture procurement, including assessing campus needs, managing inventory and optimizing asset lifespan. The Operations Manager will work collaboratively with various stakeholders, both within and outside the department, to uphold and advance the school’s mission and values.

Primary Responsibilities: Responsibilities include but are not limited to

  • Project Management

  • Develop and maintain a schedule of continuous improvement projects of all campus buildings and facilities

  • Participate in the selection and negotiation of contracted maintenance services

  • Monitor project progress, resolve issues, and communicate updates to school administration and staff.

  • Coordinate with architects, contractors, and other stakeholders to ensure projects are completed on time and within budget.

  • Implement sustainable practices in facility projects to enhance energy efficiency, reduce waste, and promote environmentally responsible operations.

  • Furniture Procurement

  • Conduct assessments to determine furniture needs across various departments and facilities within the school.

  • Identify and establish relationships with vendors and suppliers who provide quality furniture suitable for educational environments.

  • Oversee the entire procurement process from sourcing and selection to purchase and delivery, ensuring timely and cost-effective acquisition of furniture items. Regularly communicate updates and procurement status to stakeholders.

  • Maintain accurate records of furniture inventory, including tracking usage, maintenance schedules, and replacement needs.

  • Staff Supervision and Performance Management

  • Supervise and manage janitorial and maintenance supervisors and department staff to ensure efficient daily operations, including cleaning schedules and maintenance tasks, and response to emergencies.

  • Develop clear performance standards and expectations for janitorial and maintenance staff, including productivity benchmarks, quality metrics, and customer service standards.

  • Conduct regular performance evaluations and reviews to assess performance against established standards and goals.

  • Provide constructive feedback, coaching, and support to supervisors and staff to improve performance, address areas for development, and recognize achievements.

  • Other duties as assigned.

    Qualifications:

  • Minimum Bachelor's Degree.

  • Proficiency in facilities management software and systems.

  • Strong understanding of maintenance procedures, janitorial service requirements, and emergency response protocols gained through prior work experience in a school setting.

  • Proven ability to lead and manage teams, including performance management, coaching, and development.

  • Excellent communication skills, both verbal and written, with the ability to interact effectively with staff, vendors, and other stakeholders.

  • Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.

  • Ability to develop and implement performance standards and metrics.

  • Strong analytical skills to assess performance data, identify trends, and make data-driven decisions.

  • Proven ability to handle emergencies and unexpected situations effectively.

  • Excellent interpersonal skills with the ability to build and maintain positive relationships with staff and other stakeholders.

  • Ability to provide constructive feedback and support to staff, fostering a positive and productive work environment.

  • Willingness to support Menlo and the department by performing other duties as assigned in recognition that we all are mutually responsible for the team’s success.

    Physical Requirements:

  • Requires the ability to sit, stand and walk for extended periods of time.

  • Requires the ability to lift up to 25 lbs.

  • Requires the ability to regularly use a step ladder to access the top of the work order board (2 - 2.5 ft).

  • Requires the ability to work outdoors occasionally in hot and cool environments depending on the season.

    Pay range:

    In the spirit of pay transparency we share the base salary range for this position for the 2024-2025 academic year. The full pay range, which encompasses all experience levels is $100,000 - $140,000. Within this broad range, we pay in accordance with what could be reasonably expected based on an individual's experience level. Base salary is exclusive of fringe benefits, retirement plan employer contributions or potential stipends (for eligible employees). Pay ranges at Menlo are reasonable estimates of what the School anticipates paying for a role but are not guaranteed. If hired at Menlo School, your final base salary will be determined by factors such as skills, education, experience, job level, part-time status and number of months of work per academic year. In addition to those factors, we believe in the importance of pay equity and consider internal equity with our current employees as a part of any final offer. Please keep in mind that the generous range mentioned above is the full base salary range for the role. Hiring at the maximum of the range is not typical for Menlo School in order to allow for future and continued salary growth.
