Ashley Community Schools Central Office Administrative Assistant in Ashley, Michigan

Ashley Community Schools is looking for a full-time Central Office Administrative Assistant

Employment type: FULL-TIME (12 months/260 days/40-hour week)

Hourly Rate: $17.00-$19.50 per hour

Responsibilities:

  • Maintain various filing systems and process incoming correspondence.
  • Maintain files of paid and unpaid invoices and purchase orders in the MUNIS platform
  • Prepare, verify, and distribute checks.
  • Respond to expenditure questions from District responsibility centers/ departments.
  • Process checks and make deposits. Prepare backup information for accounts receivable. Input of cash receipts.
  • Reconcile accounts / reports/ projects/ timecards.
  • Research unclaimed accounts payable checks; reissue to vendors.
  • Assist with annual audit preparation.
  • Ensure compliance with mandated postings and documentation for the Board of Education.
  • Assist employees with insurance and FSA enrollments
  • WillSub, METS and FOIA Coordinator
  • Help with new hire paperwork and onboarding.
  • Maintain personnel files, update employee certification and permit information as needed.
  • Monitor and assist with ensuring compliance training is completed for all employees with Vector Training / Safe Schools.
  • Process volunteer forms and fingerprinting requirements.
  • Process daily mail (U.S. and internal).
  • Maintain regular consistent attendance and punctuality.
  • Maintain a professional personal appearance.
  • Adhere to Board Policies.
  • Maintain confidentiality.
  • Perform all other duties as assigned.

Qualifications:

  • High School diploma required; some college coursework preferred.
  • Course work in various subjects such as: word processing, excel, computer software systems and office procedures. Three- five years' experience as an administrative assistant in a school district of comparable size preferred.
  • Organizational skills, ability to work with minimum supervision, telephone and email etiquette.
  • Knowledge and experience with the MUNIS platform preferred.
  • Ability to interact positively and cooperatively with staff, students, parents, and community members.
