ARPA-H – Mission Office Executive Assistant / Office Manager - Advanced
Amentum is looking for experienced personnel to expand our healthcare technology development support capabilities at the Advanced Research Projects Agency for Health (ARPA-H).
Founded in 2022, ARPA-H is a Federal research funding agency that supports transformative biomedical and health breakthroughs – ranging from the molecular to the societal – to provide health solutions for all. ARPA-H advances high-potential, high-impact biomedical and health research that cannot be readily accomplished through traditional research or commercial activity to develop solutions to society's most challenging health problems.
We are interested in individuals who have experience supporting executive-level Government personnel at a Federal or State agency or major private sector company. Executive Assistants will provide office management and administrative support as a member of a Front Office support team for an ARPA-H Mission Office, regularly interacting with Government leadership - the Office Director, Deputy Director, Assistant Director for Program Management (ADPM), Program Analyst (PA), and technical Program Managers (PMs) - to help execute and manage technology development programs.
Responsibilities will include:
Developing and maintaining a strong, positive rapport with senior leadership, team members (Government and contractor personnel), and the public
Providing professional customer service expertise and administrative assistance to Mission Office Government leadership
Tracking priorities and deadlines while providing overall scheduling and calendar support to senior Government personnel, de-conflicting between events, sending / accepting meeting invitations, and coordinating visit requests; scheduling and organizing meetings; taking notes and minutes when required
Organizing reports; providing assistance in tracking and organizing taskers, requests for information, deliverables, and action items
Coordinating the development and maintenance of Mission Office filing structures and distribution and mailing lists
Processing and tracking the status of requests to ARPA-H Information Technology Office (ITO) for equipment / services
Coordinating ARPA-H badge and Personal Identity Verification (PIV) issuances and renewals, office moves, and in/out processing of office staff to include Government and support personnel
Creating, compiling, and editing computer-generated documentation including technical text and graphics
Minimum Requirements:
Bachelor’s degree or higher - substantial relevant occupational experience (15 or more years) may be considered in lieu of degree requirement
At least ten (10) years relevant experience
Prior experience providing administrative support to senior and executive level personnel
The demonstrated professionalism, maturity, sound judgement, and excellent communication and interpersonal skills necessary for daily interactions with executive-level audiences in a dynamic, high-visibility Front Office environment
Ability to work independently or in a team setting as circumstances dictate
Strong spelling and grammar skills and ability to put documents in proper format
Highly Desirable Attributes:
ARPA-H experience
Other ARPA agency (DARPA, IARPA, ARPA-E, etc.) experience
National Institute of Health (NIH), Department of Health and Human Services (HHS), or Department of Defense (DoD) experience
Hybrid and telework options are likely but residence within Washington, DC metropolitan area is desired.
