Hiring Pay Rate
The salary range listed represents a broad salary range for this position. It is anticipated that this position will begin at $4,154.00 per month, depending upon internal equity, experience, education, and training.

Description of Job
This position will support and serve as liaison for Instruction’s Directors, Department chairs, faculty, instructors, students, Dean, College personnel and Vice President of Instruction in addition to advising students, both current and prospective, primarily about the program requirements for Biological, Engineering & Physical Sciences, and will cross-train and serve as backup for all disciplines within MAS. This position will:
Seamlessly serve all students, faculty, and staff seeking assistance, regardless of the specific School involved in any inquiry.
Support and contribute to Department, School, and College program recruitment and retention goals by managing and implementing recruitment and retention activities for academic programs; develop recruitment information with the chairs including brochures, program advisory guides and program information sheets for students; participate in recruitment activities as requested.
Support and contribute to Department and College retention goals by advising students and responding to student inquiries, record and monitor concerns, and formulate solutions to these concerns by interpreting and communicating institutional procedures and instructional rules. Resolve and/or refer student complaints.
Determine accuracy and completeness of contracts for full and part-time faculty and instructors; input data and verify accuracy. Resolve any contract/payroll discrepancies with Human Resources. Create teaching contracts for all faculty in Banner.
Collect, enter, and verify class schedules each semester and ascertain that all information and codes (course credit, mode of delivery, site, course type, max enrollment number, and waitlist option) are correct. Implement and improve School schedule development process for Banner.
Between all instructional Schools, clarify program-specific processes, rationales and procedures to instructors and new full-time faculty and assist with orientation and events as requested.
Maintain various databases and data retrieval, including generating management reports from the data, for the School.
Serve as designated purchasing authority for Department office supplies; order, sign for and reallocate purchases adhering to purchasing department procedures and deadlines.
Develop and implement operational processes for programs within Biological, Engineering & Physical Sciences, including business processes for ordering supplies or catering for events, maintaining inventory, requesting signature approvals, developing department documentation processes; and developing program-specific processes, rationales and procedures for instructors and new full-time faculty. This also includes reviewing existing business
practices for process improvement, and updating and implementing business practice changes, such as improving and implementing the School schedule development process for Banner. These processes will be primarily used by department administrative support, staff, faculty, and instructors.
Attend School/department chair meetings, Program Advisory Committee meetings, and others as directed; record, transcribe and disseminate minutes in a timely manner. Make physical arrangements for meetings (location, food service, clean up), as needed.
Works as an extension of Student Recruitment and Marketing specifically for the Biological, Engineering & Physical Sciences programs to coordinate the elements needed to develop strong marketing materials such as postcards, signage, and brochures.

MINIMUM QUALIFICATIONS:
Experience Only:
Three years of clerical experience as the primary function which must include experience working with and directly supporting executives in a large organization. Successful candidate must have extensive computer knowledge, and knowledge of correct English usage, spelling, and punctuation. In order to be considered for this position, your relevant experience must be documented on your application. Daily interaction with students, faculty and staff require that this position possess excellent customer service skills. Computer literacy is a must. Do not use "See Resume" statements on application; your application must be completed in detail and clearly document your relevant work experience. (Part time experience will be pro-rated).

Education and Experience:
College, university or non-correspondence business school course work from an accredited institution in Business or similar field may substitute for the clerical experience on a year for year basis. You must submit a copy of your transcripts with your application in order to be considered. Please redact age-related information on your transcript.

Working knowledge of Banner or similar system. High level of speed and accuracy regarding data entry. High level of attention to detail (ability to check for typographical, grammatical and spelling errors, etc.). High level of experience and ability to work in a fast paced customer service and data entry environment, and ability to handle multiple tasks simultaneously while meeting targeted deadlines. Understand and determine appropriate rules and regulations from various sources. Knowledge in extracting information from various reports. Ability to deal with a diverse population with discretion and tact.
Appeal Rights:
