JOB SUMMARY:
Performs professional and administrative duties in support of the Building Inspection, Permits, Planning, Mowing, Preventive Maintenance, Streets and Drainage, Utilities, Treatment and Code Enforcement Divisions. Provides administrative support to the Planning and Zoning Commission, the Zoning Board of Adjustments and the Building Board of Standards and Appeals. Maintains confidential information and excellent customer service.
ESSENTIAL FUNCTIONS:
- Acts as Office Manager of the Department and supervises office personnel as needed.
- Assists residents and commercial customers in the interpretation and application of City zoning, platting, planning and permitting procedures.
- Assists with the preparation of the City budget and provides information regarding expenditures, accounts and expenses throughout the budget year.
- Documents purchases by processing requisitions and maintaining accurate accounts records.
- Provides technical assistance to internal customers concerning various Division actions.
- Responsible for maintenance and oversight of all records for the Department.
- Processes permits, collects permit fees, issues receipts and files as required.
- Maintains Department records and logs and schedules Inspections as needed.
- Responsible for scheduling, posting and minutes for the official record of the, Planning and Zoning Commission, the Zoning Board of Adjustments and the Building Board of Standards and Appeals.
- Attends meetings; records and takes minutes of the meeting.
- Transcribes and prepares minutes of the meetings for approval and filing as required.
- Assists with Agenda preparation and / or prepares agendas as needed.
- Conducts research and compiles statistical data for presentations and special projects.
- Copies, assembles and distributes packets to the various boards.
- Collects, reviews, submits and ensures consistency for employee timesheets and leave requests.
- Analyzes and validates permit requests and compiles follow-up and action reports.
- Prepares and compiles available reports and responds to subpoenas and Open Record Requests.
- Answers telephone, takes messages, returns calls and acts as back-up to the Permit Clerk.
- Acts as liaison with all other City Departments.
Qualifications
High School Diploma or equivalent required. Associates Degree preferred. Three (3) years of directly related experience required. Experience in municipal government preferred. Work requires general knowledge in technical field and the ability to understand operational, technical and office processes. Knowledge and skill in Microsoft Office programs required.
Special Requirements
PHYSICAL REQUIREMENTS: Work is predominantly sedentary. Required to exert up to 10 lbs. occasionally. May be required to lift, hold and carry office supplies and equipment. Required to sit, stand, reach, twist and walk to perform duties. Fine dexterity and manipulation necessary to operate computer keyboard and office equipment. Work is indoors in office environment.
