Job Summary
Support the Adult Emergency Department Clerical team and leadership in the planning, management and daily operations of clerical services. Provide leadership that promotes high level staff performance consistent with our focus on continuously improving the quality and efficiency of patient care and optimizing the patient care experience. The Michigan Medicine classification for this position is Clerical Supervisor Senior.

Responsibilities*
Personnel Management in collaboration with the ED Clerical Leadership Team.
Provide leadership and supervision for the ED clerical team and overall department support
Coordinate, assign and supervise the work of the ED Clerical Team
Counsel, mentor, coach, discipline, and evaluate ED Clerks
Identify and plan for staffing consistent with the needs of the department and budgetary requirements.
Participate in planning and problem solving of daily unit/area operations and priorities of clerical support for efficient patient care services.
Participate in hiring activities of clerical staff, conducting personnel interviews and reference checks.
Participate in the development, implementation and revision of individual performance plans and professional advancement. Conduct Clerk performance evaluation at designated intervals
Participate in the development, implementation and revision of orientation plans and processes for ED Clerks, including selection and training of preceptors
Assist in the orientation of faculty and staff to ED clerical operations
Participate and provide input in the monitoring and planning process of department payroll and commodity expenditures.
Interpret and implement Michigan Medicine and University policies and procedures and the standards of regulatory agencies.
Participate in planning, coordinating and evaluating unit quality improvement activities.
Promote staff involvement in department quality improvement/lean initiatives to foster engagement and employee growth
Maintain open lines of communication between staff and leadership, escalating issues as needed
Promotes community building and diversity initiatives that help employees learn and respect each other?s differences.
Departmental
Maintain competency in all clerical roles and work assignments, providing staffing coverage in AES when needed.
Resolve day-to-day operational issues and employee concerns as they arise.
Anticipate and respond to patient/family issues and concerns.
Ensure appropriate levels of forms and other supplies required for efficient clinical and clerical operations are maintained at all times. Recommend changes to ED forms content and inventory as needed.
Ensure that department business machines and communication devices are working properly and in sufficient quality to support clinical operations.
Collaborate with the ED leadership team in the development and implementation of department goals and objectives, new and revised policies, procedures and methods.
Facilitate open channels of communication with managers, peers, staff, and providers.
Participate as a member of ED leadership meetings; problem solve issues related to clerical practice within the ED and in consultation with external departments.
Represent the ED to other departments and outside agencies as delegated
Support and facilitate initiatives to improve the ED patient care experience.

Attend appropriate continuing education offerings and staff development programs, review literature, and collaborate with peers and other professionals
Develop performance plan consistent with goals of Michigan Medicine.
Evaluate own performance periodically with ED Director of Operations

Required Qualifications*
Bachelor's Degree in Business or Health Care Administration or other related field
Formal supervisory experience
Evidence of demonstrated or potential leadership ability including; team leader or other informal management experience.
Demonstrated excellent listening, written, verbal, and information technology skills. Shares relevant information.
Demonstrated commitment to identify constructive approaches to resolving workplace issues.
Ability to communicate effectively in ways that enhance productivity and build respectful relationships
Demonstrated skills in conflict resolution, coaching and mentoring, performance management
Demonstrated ability to communicate and collaborate in a manner that fosters teambuilding with all levels of staff and management, both internal and external to the department

Desired Qualifications*
One or more years of recent emergency department clerical or supervisory experience
Three years' formal supervisory or leadership experience in a clinical setting
Knowledge of Michigan Medicine policies and practices.
Experience with Quality improvement/Lean initiatives
Responds positively to change, showing willingness to learn new ways to accomplish work.
Strong ability to work independently and collaboratively with others
Work Schedule
- This position provides supervision for the evening shift, with rotating on call including holiday and weekends.

Reporting Relationships
Supervision Received: The ED Clerical Supervisor reports directly to the ED Clerical Manager. Independent judgment and discretion in the execution of responsibilities is exercised.
Supervision Exercised: Administrative supervision is exercised over ED Patient Services Associates, Intermediates, and Senior.
Background Screening
Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
