The Administrative Care Coordinator shall assist in performing Medical Case Management Coordination Services in support of the Alaska Army National Guard Medical Activity’s mission of achieving maximum Individual Medical Readiness.
Responsibilities
Coordinate profile exams/evaluations and audiology exams at Periodic Health Assessment exam centers, during Soldier Readiness Processing (SRP), M-Days (Drill) and during the performance of duties during standard and special hours as outlined herein.
May be required to travel to off-site AKARNG locations during the performance of this contract to provide MCM services or to attend meetings.
Must be able to participate in Periodic Health Assessment (PHA) events as determined by the needs of the state, individual Units, and by the mission of AKARNG medical authority.
Will assist in ensuring Soldiers referred by military and civilian providers are followed in accordance with established case management methods.
Shall submit all case management, medical documentation, and profile concerns to the full-time AKARNG Provider, Health Systems Specialists, MEB staff, and authorized individual Unit personnel (e.g., Unit Medical Readiness Personnel, S-1, Unit Commander, or designee) as appropriate.
Assist in managing AKARNG Soldier care from the identification of the injury or condition to when the Soldier is either:
Considered medically ready/return to duty; or,
Administratively separated from the military.
Shall follow the regulations and policies applicable to Individual Medical Readiness (IMR) and deployment, to include AR 40-502 and other applicable guidance including current and newly implemented Federal and State level policies.
Secure all medical documentation received from Soldiers and/or their medical teams and ensure they are placed in or transferred to appropriate electronic health record systems as well as the Soldier’s hard copy record via the records custodian or PAD NCO/Officer.
Maintain Soldier medical records in accordance with Army Regulation (AR) 40-66.
Provide Records Custodians, Providers, Health Systems Specialists, or delegate(s) with all relevant medical/dental documentation.
Obtain releases of information (DD Form 2870) from every Soldier with whom medical and/or dental records are exchanged.
Maintain strict adherence to Health Insurance Portability and Accountability Act of 1996 (HIPAA) standards and guidelines to include annual training requirements.
Upload medical documents of case managed Soldiers into Health Readiness Record (HRR) in MEDCHART.
Upon receipt and upload of all medical documents, the contractor employees will stamp or mark documents for verification recording time/date of action.
Index uploaded medical documents.
Provide copies or originals (as appropriate) of all medical documents and artifacts received for case management to Records Custodian in AKARNG State Surgeon’s Office to be filed in Soldiers’ records.
Other duties as assigned.
Qualifications
High school diploma or GED.
Possess an active (unexpired) BLS certification by the American Heart Association or American Red Cross.
Knowledge, Skills, and Abilities
Possess knowledge, skills and abilities in medical administrative assistance, terminologies, and vocabularies and who has a demonstrated familiarity with military medical administrative operations.
Familiarity with medical terminologies, vocabularies, and military medical administrative operations.
Must strictly adhere to HIPAA Privacy Rule standards and practices.
Must be organized, detail oriented, dependable and possess a positive, professional, compassionate attitude.
Ability to multi-task and work well under pressure.
Possess excellent oral and written communications as well as possess excellent customer service skills and be able to communicate with patients and staff in a professional, courteous manner.
Proficiency with Microsoft 2010 or newer programs.
