The Head of Small Works will oversee the global pipeline and delivery of projects across a TMT client for CBRE GWS. Typically, these projects will fall into three categories globally – FM led projects, where the local FM leads straight forward, single vendor project delivery; FM led projects which require variable PM support – more complicated projects, but still FM-led; and thirdly projects which are PM led with heavy PM engagement. The candidate will be accountable for overall success of project delivery (from initial project strategy including the review of Real Estate Options, through design, procurement, construction oversight and project close out).

The candidate would be expected to develop a suite of process maps and documentation, alongside a global tracking tool, for the small works projects.

This is a 6 month FTC role but may develop into a permanent role.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

One-time

  • Draw up projects toolkit for 3 scenarios – tools, templates, reporting

  • Produce reporting tracking tool – one source of the truth.

  • Obtain feedback on performance to date and devise plan for leadership and customer agreement and implement action plan.

Programmatic and Initiation

  • Track all projects delivered in all 3 above scenarios.

  • Initiate project gateway decision on which of the three scenarios a project fits into.

  • Agree support strategy with leadership – CBRE, non-CBRE, supporting inputs.

  • Identification, onboarding and ongoing performance management of above.

Design and Procurement

  • Supervise project progress through early stages of project.

  • Complete regular check-ins with variable project resources to ensure that deliverables are being completed per programme.

  • Identify correct procurement route for execution – CBAP or other. Undertake liaison with platform to carry out necessary approvals.

Commercials

  • Agree up-front commercial proposals from internal CBRE service lines and other suppliers/vendors. Align with leadership on any fee share or incentive elements.

  • Track variations on either supplier or customer side and timely presentation.

  • Present costs to leadership and customer for approval.

  • Ensure any risk-related checks are undertaken (EHS, financial health etc)

  • Work with contract support/finance on fee proposals, invoicing and other financial tracking

  • Ensure financial closeout is only completed after project is completed. Get statement from customer and vendors confirming all in alignment to completion.

Construction

  • Supervise activities of team through construction period. Ensure regular updates are provided to customer and leadership team.

  • Ensure team are monitored as appropriate.

  • Undertake site visits as necessary.

Aftercare

  • Complete customer scorecard/feedback completed.

  • Manage defects process as necessary.

  • Hold information on CBRE and supplier performance for ongoing evaluation.

  • Ongoing lessons learned and process improvement.

ESSENTIAL SKILLS include the following:

  • Highly accountable

  • Client side programme and project management experience

  • Experience with involvement on complex corporate projects, with an occupier focus

  • Strong communication and facilitation skills

  • Strong analytical and organizational skills

  • Leadership capabilities

  • Client relationship management skills

SUPERVISORY RESPONSIBILITIES

  • Management and leadership of vendors inc. Architect, Engineers, Contractors etc… essential

  • Line Management of internal team resources is preferred but not essential

QUALIFICATIONS, EDUCATION and EXPERIENCE

  • Degree in relevant subject

  • Previous experience of working within the technology sector

  • Significant experience within project & programme management (min 5 years post graduate experience).

  • Previous experience of working within Global account with a US based/led team

  • Service provider management

  • Experience from within a client organization; either as an employee or secondee.

  • International work experience

  • Experience with involvement on complex corporate projects

  • Experience of being involved in pitching to prospective clients

COMMUNICATION SKILLS

  • Ability to comprehend, analyse and interpret complex business documents.

  • Ability to respond effectively to highly sensitive issues.

  • Ability to write reports and articles using distinctive style.

  • Ability to make effective and persuasive presentations on complex topics to employees, clients, management and/or public groups.

  • Ability to motivate and negotiate effectively with key employees, management, and client groups to take desired action.

  • Fluency in one or more languages will be an advantage

REASONING ABILITY

  • Demonstrate an ability to solve complex problems and deliver a variety of options in complex situations.

  • Requires a sound level of analytical and quantitative skills

FINANCIAL & COMMERCIAL ACUMEN

The successful candidate will require a practical working knowledge of the financial terms and principles that are associated with Corporate Occupier fit out projects. An ability to review and analyse complex financial/ business reports/ data and develop innovative solutions, as well as experience in conducting analysis/ due diligence in terms of contract negotiation

SCOPE OF RESPONSIBILITY

Decisions made with in-depth understanding and interpretation of procedures, company policies and business practices to achieve complex results. Responsible for setting department deadlines. Errors in judgement may cause long-term impact to co-workers, supervisor, department and/or line of business.
