Animal and Plant Health Inspection Service Administrative Support Assistant in Ames, Iowa

Summary You will be responsible for a wide range of administrative duties. Time will be split between providing support and assistance to the National Centers for Animal Health (NCAH) Occupational Health Clinic personnel and administrative support duties for the Safety and Security Unit, and the Center for Veterinary Biologics. This includes maintaining medical and other communications, advising and assisting the staff, and coordinating and performing administrative duties. Responsibilities The duties may include, but are not limited to: Conducts studies on workflow process and recommends solutions to problems in workload distribution, work processes, and procedures. Delivers briefings to managers on findings concerning correspondence workflow and makes recommendations for process improvement. Facilitates requests from Unit members to gather, correlate, and otherwise provide information on administrative processes, often with an immediate deadline. Receives telephone calls, email messages, and visitors to the clinic; responds to routine inquiries and refers to clinic staff as needed Assembles and maintains patient records following clinic policies and procedures to ensure patient confidentiality and protection of PII/PHI data Assists SSU offices with proper maintenance of files of correspondence, reports, records (including medical records), property actions, etc. Assists the Manager as a delegate in the electronic performance management system (ePMA), AgLearn, and similar systems with the preparation, review, and revision of IDPs and Performance Appraisals. Arranges travel for staff, including scheduling transportation, making room reservations, preparing travel authorizations and itineraries and preparing travel vouchers. Maintains time and attendance reports and transmits electronically to payroll office. Resolves discrepancies with NFC. Requirements Conditions of Employment Qualifications Applicants must meet all qualifications and eligibility requirements by the closing date of the announcement, including specialized experience and/or education, as defined below. FOR THE GS-07 LEVEL: Applicants must have one year of specialized experience (equivalent to the GS-06 level) that may have been obtained in the private or public (local, county, state, Federal) sectors which demonstrates: Processing of medical records in accordance with Health Insurance Portability and Accountability Act (HIPAA) standards is preferred. Maintaining spreadsheets. Processing time and attendance records. Maintaining electronic calendars. Note: There is no education substitution for this grade level. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional, philanthropic, religious, spiritual, community, student, social). Volunteer work helps build critical competencies and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Education This position does not have an education qualification requirement.
