Position Summary

The primary objective of the Office Administrator is to project a professional image and provide excellent communications and onsite interactions.

This is a key role within the organization as the incumbent is the face and voice of our our Human Brand. The office Administrator is the front line of support for our teams that host meetings in our HQ office.

Responsibilities

  • Retrieve mail daily, sort, scan and email

  • Receive on-site deliveries

  • Prepare package(s) for shipping (when applicable)

  • Inventory items for in office meetings (paper products, café coffee, soft drink and snack supplies) and restock conference room and café refrigerators

  • For on-site meetings, arrange tables in conference room the day prior, arrive onsite to meet caterer, set-up and clean-up catering after meals, brew coffee, hot water, set out snacks, provide restroom keys (if restrooms are locked)

  • Load, unload dishwasher with coffee mugs

  • Report any issues/repairs that may be required in office (appliance breaks, AC not working, etc.)

  • Assist with making copies (when applicable)

  • Other as directed by onsite team members

Qualifications

• Must have excellent written and verbal communication skills in English.• Must have excellent PC skills including MS Office products (Word, Excel, Power Point, Outlook), internet and web applications/navigation.

Education and Work Experience

• High School diploma or GED required.

• Experience of supporting office administration preferred.

Physical and Mental Demands

• Candidates must be local to the Washington DC area.• The role will require Hybrid Working, 3 days per week in the office as a minimum. On occasions, this may be increased should there be a requirement (for example, for supporting whole week meetings).• Work normal business hours, and occasional extended hours or overtime, when necessary.• Remain in a stationary position, often standing or sitting, for prolonged periods• Regular use of office equipment such as a computer/laptop and monitor computer screens.
