Office of Inspector General Administrative Support Specialist in Alexandria, Virginia

Summary This position is located in the Department of Defense Office of Inspector General (DoD OIG), Mission Support Team (MST), Front Office (FO) in Alexandria, Virginia. The incumbent reports to the Supervisory Administrative Officer, and contributes to the efficient and effective operation of the MST FO by performing mission-related FO duties such HR liaison, budget formulation, training coordinator, travel assistant, property custodian, and document control specialist. Responsibilities Gathers information to prepare and submit MST requests for personnel actions to the Human Capital Division for action. Prepares candidate interview packages, coordinates with hiring managers to schedule job interviews, prepares onboarding materials to support the entry on duty process, and welcomes new employees to DoD OIG. Formulates the costs of supplies, services, training, and travel for the MST FO budget. Submits procurement requests for goods and services (e.g. supplies and training) needed by the MST FO staff and then enters the request data into the procurement system. Processes training requests, registers staff for training as necessary, and coordinates with training vendors to facilitate the delivery of mandatory and elective training. Serves as the MST FO Property Accountability Officer for accountable property. Greets and escorts visitors, maintains office supplies, schedules meetings, manages calendars, maintains office files, and ensures that records and files are maintained, updated, and disposed of according to applicable record retention schedules. Requirements Conditions of Employment Qualifications Time in Grade: For entry at the GS-07 level, status applicants must have served 52 weeks as a GS-05 or equivalent or higher grade, in the Federal Service. Specialized Experience: You must have at least 52 weeks of specialized experience at the GS-05 level in the federal service or at an equivalent level. Specialized experience is defined as the ability to interact with senior leadership and provide technical support to the MST front office and other Directorate personnel; apply technical procedures related to submitting accurate personnel actions, purchase requests, training requests, and travel requests; resolving time and attendance matters; and reviewing and editing correspondence, documents, and reports to ensure they are accurate and properly formatted. OR One full year of graduate level education or Superior Academic Achievement. OR Have a combination of the specialized experience and education to meet the experience requirement. Education GS-07 One full year of graduate level education or Superior Academic Achievement may be substituted to meet the specialized experience requirement. Equivalent combinations of education and experience may be used to substitute for the specialized experience requirement.
