Duties Description The Office Assistant 2 (Keyboarding) will facilitate general correspondence and communications which includes answering/ receiving telephone calls, forwarding calls to technical staff, and returning routine calls. The incumbent will be responsible for periodically checking and responding to or forwarding emails and faxes that are in the main Bureau email inbox, e-Fax line, and sending and receiving physical mail as directed.They will oversee the processing of applications, licenses, correspondence, inspection reports, and annual bills. This can involve timely hardcopy and electronic filing of communications and documents, tracking of license actions, expirations, bills, inspections, and other correspondence using electronic and hardcopy file management systems as established by the Section. In addition to these tasks, the incumbent may be required to mail bills, follow up on overdue/late bills, and process refunds as applicable. The Office Assistant 2 (Keyboarding) may be asked to assist in or facilitate other responsibilities and tasks not specifically named above to provide support to and/or other program sections within the Bureau of Environmental Radiation Protection as directed.
Minimum Qualifications Reassignment and Transfer Candidates: Current New York State Department of Health employee with permanent or contingent permanent service as an Office Assistant 2 (Keyboarding), Grade 9; OR current New York State employee with one year or more of permanent or contingent permanent, competitive service in a title eligible to 70.1 transfer to Office Assistant 2 (Keyboarding), Grade 9.NY HELPS Minimum Qualifications: One year of clerical experience where most work time is spent performing keyboarding, data entry, chart compilation or arrangement, or various tasks involving typing into computerized systems. Prior to appointment, the selected candidate must pass a keyboarding test that demonstrates their ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy. Non-Competitive Promotion: If there are three or fewer qualified candidates interested in the appointment to this position, a permanent appointment may be made pursuant to Section 52.7 of the Civil Service Law. To be eligible, candidates must be an employee of the Department of Health and have one year of permanent competitive service as an Office Assistant 1 (Keyboarding), Grade 6, or office assistant, clerical, or keyboarding title allocated to Grade 6 or higher.Promotional Provisional Opportunity: Current New York State employee with one year of permanent competitive service as an Office Assistant 1 (Keyboarding), Grade 6, or office assistant, clerical, or keyboarding title allocated to Grade 6 or higher. They will also have strong written and verbal communication skills, excellent organizational skills, and experience working in a team environment. The preferred candidate will also be able to work independently on tasks where needed and demonstrate strong critical thinking skills when encountering issues and problems.
