STARTING SALARY: $46,747, PURSUANT TO THE RULES OF THE COLLECTIVE BARGAINING AGREEMENT

JOB SUMMARY:

The Secretary reports to a Director or Office Manager and provides administrative and secretarial support to accomplish the work of the organization. The nature and variety of the secretary’s activities depends on the program area(s) of assignment.

Incumbent in this position transcribes material using an alphanumeric keyboard or other machines, correspondence, documents and records under limited supervision.

ESSENTIAL FUNCTIONS:

  1. Prepares replies to technical and non-technical inquiries concerning the office.

  2. Reviews outgoing correspondence for proper grammar, clarity and conformity. In addition to appropriate correspondence, the inclusions of all copies, forms, charts, etc.

  3. Answers phone and refer callers to appropriate person or where applicable, answer caller’s questions.

  4. Prepares office reports.

  5. Organizes work material in preparation for meetings, projects, presentations, workshops. May attend meetings or programs for purpose of taking minutes.

  6. Coordinate meetings, schedules appointments and makes travel arrangements.

  7. Transmits instructions from supervisor to appropriate staff.

  8. Sorts and reviews mail, matches appropriate correspondence and prepares replies.

  9. Maintains and updates databases and maintains files both physical and virtual (electronic).

  10. Secretary may also direct and assist others in the preparation of correspondence and proper use of clerical procedures.

  11. Provides clerical support to produce correspondence and other documents, copies, scan, or catalogue documents.

  12. Maintain/order office supply inventory.

  13. Maintains publications and other printed resources.

  14. May train other clerical office staff as necessary.

  15. Performs other related duties as assigned.

MINIMUM QUALIFICATIONS:

Ability to type 40 words per minute and good grammar and spelling skills. Proficiency in the Microsoft suite office software. Must successfully complete appropriate tests administered by the Human Resources Department.

Two years of satisfactory performance as a Secretary Grade 8.

OR

A satisfactory combination of education, training and work experience as determined by CSEA.

Must successfully complete test(s) administered by Human Resources.
