Albany Medical Center Administrative Coordinator - Pathology in Albany, New York

The Administrative Coordinator supervises the day to day operations of the Pathology Laboratory Administration office and provides administrative support and assistance to the AP Manager, Pathologists, Laboratory Supervisors and Directors. General responsibilities include: managing the daily workflow of the Pathology Administration area, scheduling slide library coverage, provides coverage when necessary to all areas of the department, , develop and maintain databases for quality monitors and pathology QA, develop and maintain standard operating procedures (SOPs), schedules in person or WebEx meetings, attends departmental meetings and prepare meeting minutes, monitor the completion of annual mandatory education for all staff within the department, ensures all incoming requests have been completed, answer the telephone and greet visitors, , maintain Kronos, , , assist with the hiring process and training of new-hires, trouble shoot day-to-day staff, patient, and physician issues, , update and create quick texts, schedule and coordinate tumor board conferences, , scan slides and maintain the Nanozoomer and perform audits to ensure quality assurance. The person in this role must maintain a high level of professionalism, should be a role model for others within the department and must exercise sound judgement, acting as the point person for day to day questions. The position requires general knowledge of Microsoft Office programs and the exercise of independent judgement with minimal supervision by the director(s) or manager. Other critical aspects include project management, management of supplies and resources and administrative oversight of staffing issues including hiring and competency assessment

Include but not limited to the following:

  • Use effective written and verbal communication skills to cooperatively work with customers, visitors, vendors and employees such as laboratory staff, supervisors, physicians and co-workers. Demonstrate knowledge of proper grammatical usage, punctuation, and spelling.

  • Manages daily workflow of department and adjusts staff coverage where necessary

  • Maintains slide library coverage schedule

  • Schedules in person or WebEx meetings

  • Prepares meeting minutes

  • Monitors annual mandatory education completion of departmental staff

  • Sends out referral testing requests

  • Performs case send out for second opinion

  • Complete incoming consults including triaging to appropriate pathologist Transcribes gross and/or final diagnosis, supplementals, consults, corrected and amended reports

  • Answers the phone and greets in person customers

  • Maintains Kronos

  • Prepares agenda and reports for Pathology QA

  • Mails/Faxes reports to ordering providers

  • Develop and maintain SOPs .

  • Pulls slides and organizes cases for conferences.

  • Serves as an advisor and mentor for co-worker . Listens well, takes direction and engages in interactive dialogues with others. Exercises sound judgement and maintains positive culture and environment.
