Partners In Action, Inc. Executive Assistant in Ada, Michigan

A Local CPA Firm is searching for a an executive assistant to join their team. The candidate should be comfortable and experienced in providing high-level administrative support for our leaders to ensure they can effectively accomplish key tasks and company initiatives. Additionally, our organizational executive assistant provides further support to the entire organization, as needed, to assist the executive in maintaining organizational best practices and efficiencies.

Executive Role:

  • Work closely with executive to facilitate priorities on a daily and weekly basis.
  • Managing the executive's calendar, including making appointments and prioritizing the most sensitive matters
  • Dealing with income email, often corresponding on behalf of executive.
  • Managing executive's incoming phone calls in a polite and professional manner
  • Screening inquiries and requests and handling when appropriate
  • Producing documents, briefing papers, reports and presentations.
  • Maintaining comprehensive and accurate records
  • Performing minor accounting duties to assist the executive in maintaining organizational KPI data.

Organizational Role:

  • Develop and maintain office systems, including data management and filing.
  • Develop and maintain client onboarding systems, initial project workflow management and assist with staff assignment.
  • Organizing meetings, including scheduling, sending reminders.
  • Assisting team with general administration tasks.
  • Building and maintaining relationships with both clients and internal team members.
  • Attend key meetings with executive, as necessary.

Qualifications and Skills:

  • High degree of attention to detail and multi-tasking
  • Ability to work independently and prioritize tasks
  • Works well under pressure and in a fast-paced environment, flexible and adaptable
  • Strong time management and organizational skills
  • Excellent written and verbal communication skills
  • The ability to anticipate potential issues and proactively address them is valuable in this role.
  • The ability to handle confidential information with discretion and professionalism is crucial.
  • Proficient in Microsoft Office and familiarity with other relevant tools and technology.

Education and Experience Requirements:

  • A degree in Business Administration or Organizational Management is preferred, or appropriate education with relevant certifications.
  • 3 or more years of executive assistance experience
