Position Summary:

The BH Operations Support Assistant plays a crucial role within the Behavioral Health Department Support Team. Reporting to the Operations Manager, this individual collaborates with providers and other personnel to guarantee the delivery of high-quality patient care. Key responsibilities encompass overseeing the department's internal referral queues, managing providers' schedules, handling in-basket pools, coordinating email groups, and performing various clerical or administrative duties to facilitate service delivery. This is a full-time position, Monday to Friday.

Duties & Responsibilities:

  • Manage and monitor department’s internal referral work queues.

  • Process incoming referrals received through the day. Verify insurance eligibility before scheduling appointments. Inform patient of any fees, co-payments, etc.

  • Monitor and respond to the department’s in-basket or secure chat messages and email groups in a timely manner.

  • Achieve the department’s daily goal of ensuring that provider’s schedules are fill to 100% capacity.

  • Schedule, reschedule and canceled appointments upon provider or patient requests.

  • Block provider’s schedule for approved time off.

  • Canceling and rescheduling patients when a provider is out sick.

  • Perform check-out process for patients. Checks out patients in the computer prior to the end of each day and enters requested follow up appointments upon check out.

  • Mail appointment reminder letters and make confirmation calls for new patients.

  • Sort out incoming mail, fax or scan documents.

  • Daily completion of DAR report to ensure insurance verification and correct insurance plan is billed for all scheduled appointments.

  • Management of daily Hospitalization/ED workflow.

  • Maintain a professional, courteous, and positive manner with all contacts.

  • Work collaboratively in relationships with co-workers, participate in achieving common goals, share knowledge and expertise willingly, and lend assistance as needed.

  • Conveys information clearly in writing and orally, listen with empathy, accept constructive criticism/feedback, responds to inquiries accurately and in a timely manner.

  • Deliver service in a non-judgmental manner that is sensitive to and respectful for the patient.

  • Performs other duties as authorized. Makes optimal use of standby time.

  • Upholds procedures and systems to safeguard the confidentiality of all patient and employee information.

  • Upholds safety policies, practices, and procedures including safety, fire safety, electrical safety, proper body mechanics and material handling, office/ergonomic safety and other employee safety measures.
